This vacancy is for a Secretary position within the Information Technology Audit directorate, based in Pretoria, Gauteng. The role is a full-time government post at a junior administrative level, providing essential secretarial, reception, and clerical support directly to the Director and the wider unit. As part of an audit environment, the successful candidate will be expected to work with discretion, tact, and a clear understanding of the need for confidentiality, while ensuring the smooth day-to-day running of the senior manager’s office. The position is ideal for someone with strong organisational abilities, excellent communication skills, and a professional, service-oriented approach.

To be considered, applicants must hold a Grade 12 Certificate or an equivalent qualification. The role requires solid computer literacy, particularly in Microsoft Word, Excel, and PowerPoint, as well as good telephone etiquette and sound organisational ability. The ability to communicate effectively with people at different levels and from different backgrounds, both in writing and verbally, is essential. Candidates should also demonstrate good people skills and the capacity to act with tact and discretion, especially when handling sensitive information or interacting with internal and external stakeholders.

The duties are varied and central to the efficient operation of the unit. The Secretary will provide a secretariat and receptionist service to the Director, which includes receiving and directing telephone calls, recording appointments and events in the diary, and typing documents for the senior manager and other staff. The role also involves operating office equipment such as computers and photocopiers, and providing general clerical support. Travel arrangements must be coordinated with travel agencies, and the Secretary will check all related documents upon receipt. Meeting and event logistics are also a key responsibility, including identifying venues, inviting role players, organising refreshments, and setting up schedules. The post holder will process travel and subsistence claims for the unit, handle invoices arising from the senior manager’s activities, and record basic minutes of meetings where required. Additional duties include drafting routine correspondence and reports, filing documents, administering leave registers and telephonic accounts, receiving and distributing incoming and outgoing documents, and procuring standard items such as stationery and refreshments. The Secretary will also collect relevant documents to help the Director prepare for meetings and must remain up to date with public service and departmental prescripts, policies, and procedures to ensure efficient and effective support.

This position offers an opportunity to work within a specialised audit directorate in the public service. The department is committed to employment equity, with specific targets for African, Coloured, Indian and White males and females, as well as persons with disabilities. Candidates should be prepared to work in a structured environment where adherence to policy and procedure is important. The role is based in Pretoria and is graded at Level 05, with the associated benefits and conditions of a government position.
