    This vacancy is for a Secretary position within the Directorate Forensic Investigations in Gauteng, based in Pretoria, under the Department of Land Reform and Rural Development. The role provides comprehensive secretariat, receptionist and clerical support to the Director of the unit, and by extension to other staff within the directorate. Because the unit deals with forensic investigations, the work demands a high level of professionalism, discretion and the ability to handle sensitive information with tact and confidentiality.

    To be considered, applicants must hold a Grade 12 certificate or an equivalent qualification. The role further requires proven computer literacy, specifically in Microsoft Word, Microsoft Excel and PowerPoint, as well as sound organisational ability, good telephone etiquette and strong interpersonal skills. The successful candidate must be able to communicate well, both verbally and in writing, with people at different levels and from different backgrounds, and must demonstrate the ability to act with tact and discretion at all times.

    The duties are wide-ranging and include serving as the first point of contact for the Director's office, receiving and directing telephone calls, managing the Director's diary, typing documents for the senior manager and other staff, and operating office equipment such as computers and photocopiers. The incumbent will provide clerical support, liaise with travel agencies to make travel arrangements, and check related documents when they are received. Arranging meetings and events is also a key responsibility, including identifying venues, inviting role players, organising refreshments and setting up schedules. The position involves processing travel and subsistence claims for the unit, processing invoices arising from the senior manager's activities, recording basic minutes of meetings where required, drafting routine correspondence and reports, and performing filing duties. Additional administrative responsibilities include administering leave registers and telephonic accounts, receiving, recording and distributing all incoming and outgoing documents, handling the procurement of standard items such as stationery and refreshments, and collecting relevant documents to enable the Director to prepare for meetings. The incumbent must also remain up to date with public service and departmental prescripts, policies and procedures applicable to the work environment, and keep abreast of the processes that apply in the office of the senior manager.

    This is a level 5 position with a salary as advertised.
