This position offers an opportunity to join the Department of Land Reform and Rural Development as a Registry Clerk, with two posts available within the Human Resource and Records Management directorate at the North Gauteng Deeds Registry in Pretoria. The role sits at a salary level of five and is ideal for entry-level candidates who have completed Grade 12 and are keen to build a career in public service records management. No prior work experience is required, making this an accessible gateway into the department, but applicants should already possess a sound understanding of registry duties, data capture, and basic computer operation. Familiarity with the legislative framework governing the Public Service, as well as storage and retrieval procedures relevant to a records environment, will be advantageous.
The core purpose of the job is to support the efficient flow of correspondence and the proper management of files and records within the registry. The incumbent will provide registry counter services, attend to clients in person, and handle telephonic and other enquiries. Daily responsibilities include receiving, sorting, registering, and dispatching mail, as well as managing both incoming and outgoing correspondence. The clerk will also receive and register hand-delivered mail and files, distribute notices on registry matters, and capture invoices as needed. A significant part of the role involves rendering an effective filing and record management service: opening and closing files according to the record classification system, completing index cards, and ensuring that documents are filed, stored, traced, and retrieved both electronically and manually. The clerk will operate office machines related to the registry function, including maintaining the franking machine register, franking post, recording money spent, and updating the register daily. Spot checks must be undertaken on outgoing post to ensure no private mail is included. The role also requires opening and maintaining a remittance register, recording all valuable articles as prescribed, handing over and signing remittances to finance, and returning incorrect remittances to senders via registered post while recording the reference numbers. A daily record of the number of letters franked must be kept. Additionally, the clerk will process documents for archiving or disposal, scan files electronically, sort and package files for archives and distribution, compile lists of documents to be archived for the supervisor, and maintain records for archived documents.
Candidates should demonstrate strong planning and organisational skills, computer literacy, and good verbal and written communication. Interpersonal relations, flexibility, and the ability to work as part of a team are essential. The department has set employment equity targets for this vacancy, specifically welcoming African, Coloured, Indian and White males, Indian and White females, and persons with disabilities. This is a full-time position based in Pretoria, and interested applicants should note that the closing date is clearly indicated in the advertisement. The role offers a solid foundation for those wishing to develop expertise in public sector records and registry administration.
