This position offers an opportunity to join the Western Cape Mobility Department as a Registry Clerk within its Support Services unit, playing a central role in the smooth operation of the department’s document and information management systems. As part of the Western Cape Government, the successful candidate will be responsible for ensuring that all correspondence and records are handled efficiently, securely, and in line with public service regulations. The role is ideal for an organised, detail-oriented individual who thrives in a structured environment and is comfortable working with both paper-based and electronic filing systems. The position is graded at a salary level that reflects its administrative nature, and it forms part of the broader provincial government workforce dedicated to serving the public.

To be considered for this role, applicants must hold a Grade 12 Senior Certificate or an equivalent qualification. Beyond the formal qualification, the department is looking for someone with a solid understanding of registry duties and practices, including the ability to capture data accurately and operate a computer. Knowledge of the legislative framework governing the Public Service is essential, as is familiarity with storage and retrieval procedures specific to the working environment. Candidates should also demonstrate a working knowledge of registry procedures and the operational workflows of the department. In terms of skills, the ideal candidate will be computer literate, well-organised, and capable of planning and prioritising tasks. Strong language skills, both verbal and written, are required, along with good interpersonal relations, flexibility, and the ability to work as part of a team. The role demands a willingness to work irregular hours when necessary, meet tight deadlines, and perform routine tasks with consistency. The ability to operate standard office equipment and to remain effective under pressure are also key competencies.

The main duties of the Registry Clerk are varied but centre on the lifecycle of correspondence and records. The role involves providing a professional registry counter service, which means attending to internal and external clients who require assistance with documents. Handling incoming and outgoing correspondence is a core responsibility, requiring careful logging, distribution, and tracking to ensure nothing is misplaced or delayed. The clerk will also render an effective filing and record management service, maintaining both physical and electronic files in an orderly manner that allows for quick retrieval. Operating office machines relevant to the registry function, such as photocopiers, scanners, and shredders, is another daily task. Additionally, the clerk will process documents for archiving or disposal, ensuring that records are either preserved according to retention schedules or destroyed in compliance with departmental policies and legislative requirements.

Shortlisted candidates should note that the selection process includes a practical exercise to assess technical and generic suitability for the post, as well as an integrity assessment focusing on ethical conduct. The department will also conduct reference checks with previous employers, which may include enquiries about disciplinary records and reasons for leaving. The recruitment process is guided by the employment equity targets of the department, and all shortlisted candidates will be required to submit completed vetting and supporting documentation within a specified timeframe before the interview. This is a demanding but rewarding role for someone who values accuracy, confidentiality, and order, and who wishes to contribute to the efficient functioning of a provincial government department.
