This position offers an opportunity to take charge of the registry function within the Mpumalanga Provincial Operations of the Department of Water and Sanitation, specifically under the Auxiliary Services sub-directorate. Based in Mbombela, the Registry Clerk Supervisor is responsible for ensuring that the flow of correspondence, records, and documentation within the branch is managed efficiently, accurately, and in line with public service regulations. The role sits within the broader Water and Sanitation Services Management branch, meaning the supervisor’s work directly supports the administrative backbone of provincial water and sanitation service delivery.
To be considered, applicants must hold a Senior Certificate or Grade 12, with a certificate or diploma in Records Management or Information Services serving as a strong advantage. The role requires a minimum of three to five years of hands-on registry experience, along with solid computer literacy in Microsoft packages. Candidates should also possess a working knowledge of human resources functions and practices, the ability to capture data and collate administrative statistics, and a basic understanding of HR prescripts. Familiarity with the legislative framework governing the public service is essential, as is a thorough understanding of registry duties, procedures, and the storage and retrieval systems used in a government working environment. Strong verbal and written communication skills, client orientation, customer focus, and the ability to perform under pressure are all key personal attributes for success in this supervisory role.
The core duties involve supervising and providing registry counter services, overseeing the handling of all incoming and outgoing correspondence, and managing an effective filing and records management service. The supervisor must also oversee the operation of office machines related to registry functions, ensure that documents are correctly processed for archiving and disposal, and take responsibility for supervising human resources and staff within the registry unit. This includes guiding team members, allocating work, and maintaining service standards.
This is a supervisory-level post within the public service, and the department has noted several important conditions. Applications must be submitted online, and supporting documents such as qualifications and identity documents are only required from shortlisted candidates at the interview stage, in line with recent DPSA guidance. Shortlisted applicants will undergo suitability checks, including qualification verification, reference checks, and criminal and credit checks. Foreign qualifications must be accompanied by a SAQA evaluation certificate when shortlisted, and foreign nationals or dual citizenship holders must provide a police clearance from their country of origin. The Department of Water and Sanitation is an equal opportunity employer, with employment equity objectives taken into account during recruitment. Women and persons with disabilities are particularly encouraged to apply, and preference will be given to candidates aligning with the department’s equity targets. Correspondence is limited to shortlisted candidates, and those who do not receive feedback within three months should consider their application unsuccessful. The department also reserves the right not to fill the post.
