This position offers an entry-level opportunity within the registry of the KwaZulu-Natal Division of the High Court in Pietermaritzburg, forming part of the broader judicial administration structure. As a Registry Clerk, you will be the backbone of the court’s record-keeping operations, ensuring that all documentation flows smoothly, securely and in line with statutory requirements. The role is ideal for candidates who are organised, detail-oriented and keen to build a career in public service record management, as no prior work experience is required. However, applicants must hold at least a Grade 12 certificate or an equivalent qualification at NQF level four, recognised by SAQA. A relevant tertiary qualification in a related field will be considered an added advantage.
Your daily work will involve managing both incoming and outgoing correspondence. This includes receiving, sorting, registering and dispatching mail, as well as distributing notices on registry matters. A central part of the job is ensuring accurate filing and record management: you will open and close files according to the recognised record classification system, complete index cards for every file, label files neatly and trace or retrieve documents manually when requested. You will also be responsible for protecting records, which means keeping the storeroom locked, replacing torn registers, storing closed registers safely in the archival storeroom, and maintaining safe custody of all files. You will need to ensure that information inside personal files is filed correctly and that the physical storeroom has enough space to prevent misfiling. The role also requires you to register files requested by various clients, such as auditors and HR practitioners, and to compile lists of documents that are due for archiving or disposal before submitting them to your supervisor.
Additional duties include electronic scanning of files, sorting and packaging files for archives and distribution, and keeping proper records of all archived documents. To succeed, you will need a solid understanding of the National Archives Act and its regulations, the legislative framework governing the public service, and the storage and retrieval procedures relevant to the working environment. You should also be familiar with the Batho Pele principles, which guide service delivery in the public sector. Strong written and verbal communication, interpersonal skills, computer literacy in MS Office, numerical ability, time management, planning, organising and report writing skills are all essential. The successful candidate will be required to sign a performance agreement, and the organisation will give preference to candidates in line with its Employment Equity goals, making this a meaningful chance to contribute to the efficient administration of justice while developing valuable administrative and archival expertise.
