This position offers an opportunity to join the Office of the Registrar at the Western Cape Division of the High Court in Cape Town, playing a vital role in the administrative functioning of the court. As a Registrar’s Clerk, the successful candidate will be part of the team that supports the smooth flow of case files and records through the court system, ensuring that legal processes are handled efficiently and in line with established protocols. Working within a busy judicial environment, you will be the link between the court’s records, the litigants, attorneys, and other members of the public, providing essential administrative support that keeps the court’s operations accurate and organised.

To be considered for this entry-level post, applicants need a Grade 12 certificate or an equivalent qualification at NQF level four, as recognised by SAQA. While no prior work experience is required, holding a relevant qualification in the field will serve as a distinct advantage. The role demands a solid understanding of working procedures within a registry environment, including the storage and retrieval of files, knowledge of filing systems, and familiarity with the mail procedure manual. A working knowledge of legislative frameworks governing the Public Service, the Promotion of Access to Information Act, the National Archives, and the Batho Pele Principles is also expected. Candidates should be computer literate in Microsoft Office, with strong skills in communication, numeracy, interpersonal relations, problem solving, analysis, time management, and general administration.

The duties of the Registrar’s Clerk are varied and central to case management. You will be responsible for registering and allocating case numbers to all pleadings and court documents received, ensuring that files have been properly served on all parties involved, and drawing up files for litigants and attorneys. The role includes updating proof of service records, safely keeping and disposing of case records, and retrieving files upon request to make them available to the requester. You will attend to queries from parties and the public, record all documents received, keep a systematic record of court files, and log requests from litigants. Case management duties are a core part of the role, including setting down notices, implementing case management practices such as placing request forms in the place of a requested file, completing and filing movement sheets, and monitoring files and records in line with case management procedures. Further responsibilities involve submitting leave forms to Human Resources for compliance, maintaining registers for filing and archiving, complying with telephone prescripts and leave policies, and preparing and signing a performance agreement timeously as part of the post’s conditions.

In line with the organisation’s employment equity goals, preference will be given to candidates who align with these targets. This post is graded at level five, and the successful appointee will be required to sign a performance agreement upon appointment. This is a full-time role based in Cape Town, and candidates should be prepared to work within the structured environment of the High Court, handling sensitive legal documents with accuracy and confidentiality. For those seeking to build a career in the public service or the judiciary, this position provides valuable exposure to court operations and record management, making it an excellent starting point within the legal administrative field.
