    Reporting Line: MANAGER: REGIONAL OPERATIONS AND LOGISTICS

    To provide integrated administrative, operational, logistical, governance and stakeholder support to the Regional Operations Manager and Logistics Division, ensuring effective coordination of regional operations, facilities management, service provider administration, business planning, reporting, compliance and stakeholder engagement within the Western Cape Region.

    Requirements

    FORMAL QUALIFICATIONS • Matric and Certificate in Office Management/Administration or equivalent qualification (NQF Level 5) • 3 years’ experience as a secretary/administrator or similar role • General knowledge of SABC rules and regulations, (SCM essential). • Excellent Knowledge of the OHS Act Essential • Excellent Knowledge of the SAP System • Good Computer Skills; (MS Package) • Excellent Oral and Communication skills • Customer/client Services skills • Good Interpersonal skills • Telephone etiquette • Compiling monthly report • Ability to promptly follow instructions

    Duties

    DEVELOPMENT AND IMPLEMENTATION OF STRATEGY • Provide support and accurately capture discussions around the development and implementation of strategy and or campaigns. • Prepare participants for strategic engagements – create templates, guidelines and briefs BUSINESS OPERATIONAL EFFICIENCY • Attend to outstanding actions resulting from meetings arranged/and or attended. • Co-ordinate the timeous receipt of minutes, meeting agendas and any document packs for meetings. • Provide support to the office of the ROM and Logistics Manager • Co-ordinate meetings with internal/external stakeholders • Facilitate travel bookings, process S&T and KM claims • Timeous and accurate preparation and management of documentation. • Draft minutes, memos and monthly reports • Processing information on the system for approval • Assist in arranging and coordinating special events, functions, conferences and workshops • Create and process Purchase Requisitions (PRs), Service Entry Sheets (SESs) and related procurement documentation. • Process Municipality accounts before Procurement cut-off dates to ensure timely payments. • Facilitate payment processing for service providers and contractors through SAP. • Facilitate monthly processing of invoices of office rental space, including electricity billing, and complete the process from start to end. • Administer freelance and independent contractor contracts and claims. • Maintain and monitor departmental contracts, Service Level Agreements (SLAs), contract register and assist the Logistics Manager with the renewal process of contracts at least 12 months before expiry. • Monitor contract performance and ensure compliance with Supply Chain Management policies and procedures. • Arrange quarterly meetings with suppliers and service providers and take minutes to be used as evidence for the supplier performance evaluation process. • Maintain accurate filing systems, records management processes and departmental databases. • Act as the communication link between management, staff, service providers and contractors to ensure effective information flow. • Compile and maintain monthly, quarterly and ad hoc operational reports. GOVERNANCE, RISK AND COMPLIANCE • Adhere to SABC policies and procedures. • Assist in the development of and ensure implementation of Standard Operating Procedures (SOP). • Respond to risk imperatives to protect organizational integrity, create value, prevent financial loss and ensure compliance with applicable policies and legislations. • Compliance with OHS requirements. • Ensure compliance with Supply Chain Management requirements and applicable legislation. • Maintain accurate records and documentation for audit and compliance purposes. • Monitor contract administration processes and ensure supporting documentation is complete and correct. STAKEHOLDER MANAGEMENT • Work in conjunction with all internal/external stakeholders • Communicate with internal and external stakeholders and attend to queries/complaints • Determine and service clients’ needs • Liaise with service providers and contractors regarding operational and service delivery requirements. • Coordinate communication between management, staff and service providers. • Escalate and assist in resolving service delivery and operational issues where required. LEADERSHIP AND PEOPLE Contract on SABC’s Performance Management system in accordance with the organizational policy and procedures. • Be a team leader and be able to give leadership when required • Coach and mentor colleagues where and when necessary • Take part in employee relations campaigns to ensure conducive and productive working environment
