Introduction The position of Procurement Database Associate is vacant. The Procurement Database Associate will report directly to the Procurement Database Manager and will form part of the Finance Division within the Government Employees Medical Scheme (GEMS). The position is based at Head Office in Pretoria . The Total remuneration package for this position is R576 206 per annum , based on qualifications and experience. The closing date for applications will be Friday, 24 July 2026 . Duties & Responsibilities The Procurement Database Associate will be required to assist in establishing a professional and compliant Supplier Database for use by all stakeholders within GEMS for inviting quotations and through which to promote efficient B-BBEE and good governance in procurement and which achieves value for money and high stakeholder satisfaction. In addition, the Procurement Database Associate will be required to provide support to the Procurement Database Manager through the following Key Performance Areas ( KPAs ): Maintain and update records of all supplier database applications received within required timelines. Assess applications and ensure approval in alignment with the application requirements and SOP. Draft letters of outstanding documents, facilitate and coordinate responses. Inform suppliers of application status. Promote and adhere to an ethical environment. Do market research to identify Black-owned and controlled database applicants where required. Assist with the management of contract extensions and renewals for relevant services. Coordinate and support the internal audit work pertaining to the Supplier Database. Assist with procurement database matters to all divisions on request. Coordinate and assist with development of presentations for staff training on supplier database. Provide regular feedback and reports to Procurement Database Manager. Coordinate/ Assist with projects as and when required. Participate in forums and committees where applicable. Assist with the review and submit policy compliance reports quarterly to the Senior Manager: Supply Chain Management. Maintain complete audit trail of all required Supplier Database—related documentation. Ensure compliance with Scheme systems, processes and policies. Desired Experience & Qualification Qualification and Experience requirements: Minimum of a certificate in Supply Chain Management/ Finance or equivalent NQF qualification. 1-2 years’ experience in procurement/ Supply Chain Management with exposure to a procurement supplier database or similar. Understand promotion of B-BBEE. Skills and Behavioural Competencies: Be organised and have good time management skills. Be analytical and have the ability to manage priorities independently. Have the ability to work well as part of a team. Computer literate with excellent MS Word, Excel and PowerPoint skills. Exceptional professional, interpersonal and communication skills (written and verbal). Planning and organising skills. Analytical and problem-solving skills to deliver appropriate solutions-motivated and pro-active. Have resilient stress management abilities. Ability to provide advice to and engage with various stakeholders. Desirable: Good knowledge of procurement processes. Have an understanding of medical schemes industry. Interested?
