This is a re-advertised vacancy for a Personal Assistant within the Asset Forfeiture Unit of the National Prosecuting Authority, based in Mthatha. The role is a secretarial and administrative support position reporting directly to the Regional Head, while also assisting other staff within the unit. The Asset Forfeiture Unit is a specialised component of the NPA, and this post is central to ensuring the smooth day-to-day running of the regional office. The position is graded at Level 07 and requires a professional, discreet and highly organised individual who can operate independently and with credibility in a fast-paced legal and public-sector environment.
To be considered, applicants must hold a Grade 12 certificate together with a secretarial diploma or an equivalent qualification. At least three years of practical experience in rendering support to senior management is required. The successful candidate must demonstrate the ability to act independently, professionally, accountably and with credibility. Strong computer literacy is essential, as are excellent language and communication skills for engaging with people at different levels and from diverse backgrounds. The role demands good telephone etiquette, above-average planning and organising skills, sound people skills, and a high level of reliability. Written communication skills are also critical, along with the ability to conduct legal research. The post requires someone who can act with tact and discretion, identify and handle confidential matters appropriately, and maintain confidentiality at all times. Good grooming, presentation and professionalism are expected, as is knowledge of the relevant legislation, policies, prescripts and procedures applicable in the public sector. A valid driver’s licence is required.
The duties of the Personal Assistant are varied and demanding. The incumbent will receive telephone calls and redirect them to the appropriate role player when they are not intended for the relevant manager. They will record appointments and events in the manager’s diary, type documents for the Regional Head and other unit staff, and provide high-level secretarial and administrative support. The role includes drafting routine correspondence and reports, operating office equipment such as fax machines and photocopiers, and making travel and logistical arrangements for meetings and events. The Personal Assistant will take minutes during meetings and prepare them for signature in advance, develop and maintain an accessible and user-friendly filing system, and prepare travel documentation and coordinate bookings for international travel for all AFU staff. Other responsibilities include handling the procurement of standard items such as stationery and refreshments, liaising with relevant stakeholders on administrative matters, setting up schedules for meetings and events, and providing general administrative support to the manager and operational staff.
Applicants should note that this is a public service position with specific application and vetting requirements. Only shortlisted candidates will be asked to submit certified copies of qualifications and other relevant documents, and foreign qualifications must be evaluated by SAQA. Successful candidates will be subjected to a security clearance of at least confidential, and appointment will be provisional pending that clearance. Fingerprints will be taken on the day of the interview, and the social media accounts of shortlisted applicants may be accessed as part of the verification process. All shortlisted candidates will undertake pre-entry assessments, including a practical exercise and an integrity assessment. The NPA reserves the right not to fill the position, and applicants who do not receive feedback within six months of the closing date should consider their application unsuccessful. This is an excellent opportunity for a seasoned administrative professional seeking a challenging role within a high-stakes legal environment.
