    Requirements

    Grade 12 plus an NQF 6 qualification in Office Administration / Public Management / Management Assistant or equivalent as recognised by SAQA. Minimum of one (1) to two (2) years’ experience in rendering support. Valid driver’s license (with exception of persons with disability). Skills And Knowledge: Knowledge of variety of work ranges and procedures such as: Finance, Human Resource matters. Planning and organizing. Computer Literacy. Technical/standards/procedures.     Duties

    Manage and maintain the Chief Director’s diary, appointments, and travel arrangements and official engagements. Arrange and coordinate meetings through preparation of the meeting agendas, take minutes, and ensure follow- up on action items. Prepare briefing notes, presentations, and reports for meetings. Screen calls, emails, correspondence and ensure timeous responses Ensure compliance with office protocols and Public Service Regulations. Ensures the effective flow of information and documents to and from the office of the Chief Director. Responds to enquiries received from internal and external stakeholders. Manage office supplies and ensure resource availability. Compile monthly/quarterly reports for the Chief Director. Collects and coordinates all the documents that relate to the Chief Director’s budget. Assists Chief Director in determining funding requirements for the purpose of submissions to relevant authority. Keep records of expenditure commitments, monitors expenditure and alerts Chief Director of possible over and under spending. Checks and correlates BAS reports to ensure that expenditure is allocated correctly. Draft memos for shifting of funds (movement of funds between budget items) for Chief Director’s review. Ensure that every document, memo, or request processed in the office aligns with the legal and procedural framework of the public service. Ensure effective flow of information within the directorate. Ensure confidentiality, accuracy, and professionalism in all tasks. Ensure deadlines and procedural timelines are respected and complied with.
