This position offers an opportunity to contribute to the smooth functioning of library services within the Department of Cultural Affairs and Sport in the Western Cape Government. Based within the Library Administrative Support Services unit, the Library Aid focuses specifically on the financial and logistical processes that keep library materials moving efficiently. The role is an entry-level, salary-graded post suited to individuals who are organised, comfortable with routine administrative tasks, and keen to support the broader public library system. Working as part of a dedicated team, the successful candidate will help bridge the gap between cataloguing, processing, and the eventual distribution of books and other library materials to service points across the province.
To be considered for this role, applicants must have at least a Grade 10 certificate or an equivalent qualification. Beyond the formal educational requirement, the position demands a set of practical competencies that are essential for day-to-day functioning. These include basic communication skills, which are necessary for liaising with colleagues and following instructions; numeracy, which is important when handling payment-related documentation and quantities of materials; and computer literacy, as some administrative tasks will require the use of basic software systems. No prior work experience is specified, making this an accessible entry point for individuals starting their careers in the public service or library environment.
The core duties of the Library Aid revolve around supporting the financial and operational aspects of library material management. A significant responsibility is the preparation of library material for payments, which involves ensuring that invoices or delivery notes are correctly matched with received items and that the necessary documentation is in order for the finance process. The role also requires physical handling of stock, including delivering and unpacking books as they arrive. In addition, the post holder will collect lists from the Cataloguing section, ensuring that the correct records are passed on for further processing. Assisting with Library Material Processing and Distribution forms the final major duty, meaning the candidate will help with tasks such as labelling, stamping, or otherwise preparing items for circulation and organising their dispatch to libraries. This is a hands-on role that combines administrative accuracy with practical, physical work.
Shortlisted candidates should note that the selection process includes a compulsory interview, as well as two pre-entry assessments: a practical exercise testing technical and generic suitability for the post, and an integrity assessment focusing on ethical conduct. Candidates must also submit duly completed vetting and supporting documentation within a specified timeframe before the interview; failure to do so without reasonable justification may result in exclusion from further consideration. The department will apply its employment equity targets when guiding the selection process, and by applying, candidates consent to the Western Cape Government contacting previous employers or managers for reference checks, including enquiries about disciplinary records and reasons for leaving. This is a supportive, entry-level role within a provincial government department, ideal for those who are reliable, detail-oriented, and ready to contribute to the effective delivery of library services.
