The directorate handles a broad range of records, including general administrative files, personnel records, and sensitive medical records, making this position critical to the department’s operational efficiency, accountability, and compliance with the National Archives and Records Service framework. The role also calls for the management of knowledge and related projects, as well as the strategic alignment of the division’s objectives with the broader goals of the department.

Applicants must hold a National Senior Certificate or Matric, together with an undergraduate qualification at NQF level 7 in Public Management, Public Administration, Archive Studies, Information Studies, Information Science, or an equivalent qualification recognised by the South African Qualifications Authority. Computer literacy in Microsoft Outlook, Word, Excel, and PowerPoint is essential, as is proficiency in virtual meeting platforms. The successful candidate must also obtain the SMS Pre-Entry Programme (Nyukela) certificate upon appointment. A valid driver’s licence is required, except for candidates with disabilities who are exempt from this requirement.

The ideal candidate will possess a thorough understanding of records management principles and National Archives requirements, as well as knowledge of public service legislation, regulations, and policies relevant to managing the directorate. Strong project management skills are necessary, along with excellent interpersonal and communication abilities in both written and verbal forms. Report writing and presentation skills are indispensable, as is the capacity to facilitate, negotiate, and resolve conflicts. The incumbent should be assertive, self-driven, innovative, and creative, with a client-focused and solution-oriented approach. Analytical, technical, quantitative, and coordination skills are also important, as is the ability to work under stressful situations while maintaining high levels of professionalism. Personal attributes such as honesty, integrity, flexibility, responsiveness, accuracy, supportiveness, confidentiality, and pro-activeness are expected.

In terms of duties, the Director will provide leadership and strategic direction within the division, ensuring the implementation and maintenance of sound records management practices. This includes overseeing the proper provisioning and maintenance of General Records Services, Personnel Record Services, and Medical Record Services within the department. The role further involves managing records, knowledge, and related projects, as well as formulating and managing the component’s budget against its strategic objectives. The Director will also be responsible for managing physical, human, and financial resources. This is a demanding and high-responsibility position that requires the incumbent to work collaboratively across the department, ensuring that records management practices remain compliant, efficient, and responsive to the needs of the public service.

This is an all-inclusive remuneration position, and interested candidates should be aware that the appointment is subject to the standard senior management service conditions, including the completion of the required pre-entry certificate. As part of the application process, candidates will be required to submit a fully completed Z83 form and a comprehensive curriculum vitae. Shortlisted applicants will need to bring certified copies of qualifications, identity documents, and any relevant registration certificates to the interview.
