    This position of Deputy Director for Office Services sits within the Corporate Support component at the Head Office in Polokwane, forming part of the Limpopo Department of Education's administrative leadership structure. The role is graded at salary level 11 and is responsible for directing the full spectrum of office services that keep the department functioning, from furniture and accommodation to telecommunications and labour-saving equipment. As a deputy director, the incumbent operates at a senior management level and is expected to provide strategic leadership, manage resources, and ensure that all office-related policies and processes align with the broader objectives of the department.

    Candidates must hold a Grade 12 or Matric certificate as well as a recognised qualification at NQF level 6 in Public Administration, Management, Office Management and Technology, or a related field, accredited by SAQA. A minimum of five years' experience in an office services administration environment is required, with at least three of those years at junior management level. A valid driver's licence is essential, although applicants with disabilities are exempt from this requirement. The role demands a strong working knowledge of the Public Service Acts, regulations and frameworks, together with skills in policy analysis, strategic capability, problem solving, decision making, team leadership, financial management, communication, computer literacy, people management, planning, organising and conflict management.

    The duties of the post are wide-ranging. The Deputy Director must develop policies, strategies and processes for the provision of office goods, facilitate the budgeting for these goods, and set norms and standards for their distribution. This includes conducting needs assessments for office and domestic furniture, preparing procurement specifications, overseeing the receiving of goods from service providers, managing distribution according to set norms, and arranging maintenance or repairs of broken furniture. The role also involves recommending the disposal of redundant or irreparable items and conducting periodic inspections of furniture held on stock. In addition, the incumbent manages the procurement of uniform and protective clothing and coordinates accommodation-related needs such as flights and shuttles.

    Telecommunications services form another major area of responsibility. The Deputy Director develops and implements telecommunication policies and strategies, facilitates budgeting, manages the switchboard, and oversees the installation of landlines and extensions based on office and personnel numbers. The role includes liaising with service providers for maintenance and activation of speed dials and PIN codes, setting norms for cell phone provision, evaluating applications for cell phones, managing their procurement, monitoring airtime compliance, and providing monthly statements of account with monetary values on usage.

    The post also covers labour-saving devices, where the incumbent develops procurement policies, facilitates budgeting, manages service level agreements with providers, monitors compliance, oversees maintenance, and tracks the monetary value of usage. Finally, the Deputy Director is responsible for managing human, financial and physical resources in line with legislation, preparing and implementing budgets, monitoring expenditure, setting performance targets, evaluating staff, providing capacity development, managing discipline, and overseeing leave matters. This is a demanding leadership role for a candidate with strong managerial and strategic abilities.
