The Communication Service Agency, operating within the Government Communication and Information System, is offering a twelve-month casual worker position based in Pretoria. This role is centred on providing comprehensive administrative and secretarial support to the office of the Chief Director. It is a demanding support function that requires someone who can plan and manage all activities within that office, work flexible hours, and handle a wide range of clerical, logistical, and coordination duties. The successful candidate will act as the central point of contact for the Chief Director's daily operations, ensuring that the office runs efficiently and that all administrative processes are completed accurately and on time.

To be considered for this post, applicants must hold an appropriate National Diploma at NQF level 6 or a Degree at NQF level 7 in Office Management, Office Assistant, Secretarial and Administration, or any other related qualification or training course recognised by SAQA. The position also requires a valid driver's licence, and candidates must be willing to work outside normal office hours as the demands of the office may require.

The core duties include rendering administrative support services and secretarial support to the Chief Director. This involves coordinating meetings for the Chief Directorate, compiling agendas in consultation with the Chief Director, arranging catering for directorate meetings, taking accurate minutes and ensuring their timeous availability, and following up on action decisions with relevant officials. The candidate will also be responsible for ensuring proper filing of all incoming and outgoing documents, with an index maintained for each file. Routine submissions and reports must be scrutinised, with notes or recommendations prepared for the Chief Director's attention.

Further responsibilities include verifying and submitting all payment advices, orders, and petty cash documents to the Chief Director for signature, ordering and controlling stationery and office equipment, and following up on information for OPMS and Risk Reports. The successful candidate will serve as the sub-office asset holder, coordinating submissions from other asset holders within the office. Travel arrangements for the Chief Directorate also form part of the role, including flight bookings, travel and subsistence advances and claims, liaising with travel agencies, processing invoices, and managing the Chief Director's diary. Receptionist support, management of monthly projections, finances and orders, and compiling reports from other Directorates into a single reporting line in line with the Directive on the Professionalisation of Human Resource Management and Development in the Public Service are also expected.

Applicants with disabilities are encouraged to apply. Applications must be submitted on the new prescribed Z83 form together with a detailed CV, with certified copies of qualifications and other documents required only from shortlisted candidates, who must submit them on or before the day of the interview. Foreign qualifications must be accompanied by a SAQA evaluation certificate. Late or non-compliant applications will not be considered, and correspondence will be limited to shortlisted applicants. If no contact is received within three months after the closing date, candidates should accept that their application was unsuccessful. The successful candidate must disclose registrable financial interests, sign a performance agreement and employment contract, and obtain a top-secret security clearance. All appointments are subject to verification of qualifications, experience, citizenship, reference checks and security vetting. Shortlisted candidates will also undertake a pre-entry practical exercise as part of the assessment method, and it is important to list all courses passed in the CV as per the academic transcript. By applying, candidates consent to the processing of their personal information in accordance with POPIA.
