This position offers an opportunity to contribute to the smooth functioning of the Provincial Treasury within the Western Cape Government, specifically by providing high-level administrative support to the strategic and operational management functions of the department. The role is situated within a unit that coordinates the work of prescribed departmental committees, manages transversal engagements, and supports critical human resources and governance processes. As an Administrative Support Officer, you will act as a central coordinator, ensuring that committees are properly constituted, that departmental representatives are nominated to external forums, and that all related correspondence and reporting are managed accurately and timeously. The work requires a sound understanding of public service procedures, governance frameworks, and the legislative and regulatory environment within which the department operates.
To be considered for this role, applicants must hold a three-year National Diploma or a Bachelor’s degree at an equivalent or higher level, coupled with at least one year of relevant working experience. The role demands a practical working knowledge of interpreting and implementing legislation, policies, and best practices relevant to the line function, as well as experience in managing operational activities, developing and reviewing policies, and using information systems to support knowledge management. Familiarity with modern systems of governance and administration, public service processes, and human resources-related administrative processes is essential. The successful candidate will also need to demonstrate strong interpersonal and communication skills, the ability to work both independently and as part of a team, and the capacity to plan, organise, and meet deadlines under pressure. Proficiency in numeracy, literacy, and computer systems, along with accurate record-keeping, is also required.
The core duties are varied and centre on the coordination of committee appointments, including the nomination of statutory appointees and departmental representatives to transversal forums. You will be responsible for logistical arrangements for committee meetings, the distribution of communications, and the maintenance of records for incoming and outgoing correspondence. Another key responsibility is the collation of consolidated departmental inputs and reports, which requires careful attention to detail and the ability to synthesise information from multiple sources. In addition, the role involves providing administrative support across a range of human resource functions, including training and development matters, service benefits, recruitment and selection processes, and the implementation of the staff performance management system applicable to all levels. Database management forms an integral part of the role, ensuring that information is accurately captured and readily accessible.
Shortlisted candidates should note that the selection process includes interviews, pre-entry assessments, and integrity checks. All shortlisted applicants will be required to complete a practical exercise and an ethical conduct assessment, and must submit vetting and supporting documentation within a specified timeframe. Reference checks will be conducted with previous employers, including enquiries into disciplinary records and reasons for leaving. The selection process will be guided by the employment equity targets of the department, and applicants consent to these checks by applying. This is an OSD-graded position within the public service, offering a structured career path for individuals with a strong administrative background and a commitment to good governance.
