This permanent Administrative Officer position within the Supply Chain Management division is based in the Directorate Engineering and Technical Support and carries significant responsibility for the smooth running of the finance, supply chain, and transport functions. The role is central to the department’s financial integrity, requiring a hands-on approach to budgeting, expenditure control, and the production of accurate financial reports. The successful candidate will be expected to coordinate the division effectively, ensuring that all financial and supply chain activities align with departmental policies and regulatory frameworks. This is not a purely supervisory role; it involves direct engagement with financial systems, reporting cycles, and audit processes, making it ideal for a detail-oriented professional with a strong background in public sector finance.
To be considered, applicants must hold a Senior Certificate or equivalent, with Mathematics and/or Accounting as passed subjects, or alternatively possess appropriate experience and competencies that directly relate to the key performance areas of the post. Practical experience in Financial Management and Supply Chain Management is essential, as is hands-on familiarity with the Logis and BAS systems. The role demands a thorough knowledge of In-Year Monitoring and reporting, Annual Financial Statement reporting, National and Provincial Treasury Regulations, the Accounting Officer’s System of the Department, and the Public Finance Management Act. Strong communication skills and computer literacy in MS Word, Excel, and PowerPoint are also required, as the role involves training subordinates and new appointees.
The core duties are wide-ranging. The Administrative Officer will be responsible for controlling expenditure and managing the allocated budget, drawing up monthly financial reports on expenses and expenditure commitments, and compiling supply chain and finance reports for In-Year Monitoring. The post also requires compiling inputs into the Interim Financial Statements and Annual Financial Statements, managing stores, and ensuring that asset and liability accounts are cleared timeously. Authorising journals and payments, overseeing Logis functions and EPS transactions, and addressing all audit queries are key responsibilities. Training and mentoring staff forms an integral part of the role, ensuring that the team remains competent and compliant.
This position offers an annual salary plus service benefits, including a 13th cheque, employer contributions to a pension fund, and allowances for housing and medical aid. It is important to note that no payment of any kind is required when applying for this post, and applicants should be alert to any requests for payment as these are not legitimate. This is an excellent opportunity for an experienced supply chain and finance professional seeking a stable, permanent role within a government directorate, where their expertise will directly contribute to sound financial governance and operational efficiency.
