This position is for an Administrative Officer specialising in Losses and Claims, situated within the Demand and Acquisition Management directorate of a national government department in Gauteng, Pretoria. The role is a Level 07 post and is central to ensuring that the department handles financial losses, claims against it, and related legal processes in a compliant, accurate, and well-documented manner. Working within a structured public service environment, the officer will act as a key link between internal units, legal services, and external stakeholders, helping to protect the department’s financial integrity and ensure that all claim-related actions align with applicable regulations.
To be considered, applicants must hold a Grade 12 certificate as well as a National Diploma in Public Administration, Public Management, Business Administration, Business Management, Public Finance, Financial Accounting, or Financial Management. In addition, at least one year of relevant experience in losses and claims administration is required. The role demands a solid working knowledge of Public Service Regulations, financial procedures, Treasury Regulations, and the Basic Accounting System (BAS). Candidates should also bring strong computer literacy, interpersonal and communication abilities, organisational and planning skills, analytical and problem-solving capabilities, and sound financial management skills.
The core duties are broad and include the full administration of losses and claims, from initial documentation to final resolution. This involves conducting compliance reviews of related invoices, investigating claims by liaising with various stakeholders, and compiling or reviewing memoranda to Legal Services to obtain formal legal opinions. The officer must ensure that these legal opinions are properly implemented and that all losses and claims registers are maintained and updated. Additional responsibilities include contributing to the review of departmental policies and Standard Operating Procedures, raising internal awareness about losses and claims processes, and preparing monthly and quarterly reports. The role also requires clearing suspense accounts, specifically compiling journals to clear the Damage Vehicle Suspense Account, and preparing reconciliations of processed journals against the Losses and Claims Registers to confirm accuracy and completeness.
Beyond these technical duties, the position includes general office support and a supervisory element. The officer will be expected to supervise, motivate, and develop staff through individual performance agreements, assist in developing and reviewing the operational plan, and compile various submissions, memoranda, and responses. Administrative tasks such as managing leave forms, attending to queries, making travel and conference bookings, and providing secretariat services also form part of the role. Furthermore, the incumbent will administer the procurement of goods and services and will be responsible for compiling, managing, and maintaining both the Demand Management Plan and the Procurement Plan.
This vacancy is subject to an employment equity target, specifically favouring African Male candidates and persons with disabilities. The post is advertised through the public service circular system, and interested applicants should note the specific reference number and closing date provided in the full advertisement. This is a demanding but rewarding opportunity for a suitably qualified individual with a background in public finance or administration, looking to contribute to robust governance and accountability within a government department.
