This permanent administrative clerk position within the finance unit of Western TVET College offers two separate opportunities, one based at the Carletonville Campus and the other at the Krugersdorp West Campus. As an Administrative Clerk specialising in finance, the successful candidate will form part of the college’s broader corporate services team, ensuring that financial transactions, student debt management, procurement administration, and asset control are handled accurately and in line with public service regulations. The role is graded at a level that reflects its operational nature, and it forms part of the college’s permanent establishment under the PERSAL appointment system.
To be considered for this role, applicants must hold a Matric or Grade 12 certificate as well as a recognised three-year National Diploma or Degree in Finance, Financial Accounting, Cost and Management Accounting, Internal Auditing, or another relevant qualification. Computer literacy is essential, and candidates should possess a solid working knowledge of financial functions and practices, including the ability to capture data, operate a computer, and collate financial statistics. Familiarity with public service financial legislation and procedures is required, including the PFMA, PSA, PSR, PPPFA, and the Financial Manual. Practical knowledge of systems such as COLTECH, SAGE Evolution, and Pastel is expected, along with the ability to work methodically under pressure. Strong administrative, numeracy, accuracy, people management, communication, problem-solving, planning, and organising skills are also key to performing effectively in this environment.
The duties attached to this post are varied and central to the smooth running of campus finances. The clerk will render financial accounting transactions by receiving invoices, checking their correctness, verifying and approving them, and submitting them for payment. This includes processing invoices and capturing payments. The role also involves following up on all outstanding student debts, clearing unknown student deposit accounts, preparing monthly debt management reports on outstanding debts and recoveries, and reconciling the campus tuition fee bank account. Refunds and overpayments must be submitted to the corporate office for processing. In addition, the clerk will capture procurement requests on Pastel and follow through with procurement management, assist with the administration and control of petrol cards and college vehicle bookings, and support the coordination of bursary allocations. The position also includes administering the ordering of stationery and textbooks, issuing textbooks to students, and recording issued stock. A significant part of the role is fixed asset management: conducting regular verification to ensure all assets are barcoded, correctly described, and located, reconciling them with the Fixed Assets Register, recording asset movements, identifying unusable or obsolete assets, and ensuring the register is complete and accurate for the annual external audit.
