This administrative clerk position sits within the National Prosecutions Service, based at the Mthatha office with service delivery to Mount Frere, and supports the broader prosecuting authority’s work by ensuring smooth office and court administration. The role is focused on keeping the office running efficiently so that legal staff can concentrate on prosecutorial responsibilities. It is an OSD-graded position and an entry-level clerical role, but it nevertheless requires a high degree of professionalism, independence and reliability. The successful candidate will be expected to act with credibility and accountability in all dealings, and to work closely with both legal personnel and corporate service units.
Applicants must hold a Grade 12 certificate or equivalent. Beyond the formal qualification, the NPA looks for someone who can demonstrate the ability to act independently and who possesses sound planning and organising skills. Strong written and verbal communication are essential, as is general computer literacy in MS Word, Excel, PowerPoint and Outlook. Good people skills and strong interpersonal communication are also required, because the clerk will interact with colleagues, members of the public and officials from other State departments on a regular basis. The emphasis on independent work means the postholder must be comfortable managing their own workload and following through on tasks without constant supervision.
The duties are varied and central to the functioning of the office. The administrative clerk will design and maintain a well-organised administrative system, execute a wide range of administrative tasks, and draft correspondence addressed to members of the public, other organisations and State departments. The postholder will liaise with corporate services on all matters related to the administrative operation of the office, and provide practical support to legal staff across finance, logistics and human resources. Day-to-day responsibilities also include delivering mail, photocopying, faxing, and receiving and dispatching documents. In addition, the role includes court administration services, assisting with the efficient management of court rolls, submitting monthly reports and statistics, and providing case records services. This combination of duties makes the clerk a key link between the legal team and the wider administrative machinery of the NPA.
Several additional conditions apply to this vacancy. Successful candidates will be subject to a security clearance of at least confidential, and appointment will be provisional pending the outcome of that clearance. Fingerprints will be taken on the day of the interview, and the social media accounts of shortlisted applicants may be accessed as part of the verification process. A valid driver’s licence will be required where applicable. All shortlisted candidates must undergo two pre-entry assessments: a practical exercise and an integrity or ethical conduct assessment, with the results scored as part of the interview process. Applicants should also note that the NPA is not in a position to pay resettlement costs, and that the application process requires the latest Z83 form accompanied by a comprehensive CV, with certified documents requested only from shortlisted candidates. Foreign qualifications must be evaluated by SAQA if shortlisted. These conditions reflect the standards expected of those working within the national prosecuting authority.
