This vacancy is for an Administrative Clerk within the National Prosecutions Service, based at the Directorate of Public Prosecutions in Mthatha (Maluti). This is a re-advertised post, offering an opportunity to join the administrative backbone of the prosecuting authority. The successful candidate will provide high-quality administrative support to the office, ensuring that the legal team and the broader unit function efficiently. The role is central to the smooth running of the office, from managing correspondence and documentation to supporting court administration and case records. It requires a proactive, organised individual who can work independently while also collaborating effectively with legal staff and external stakeholders.
To be considered, applicants must hold a Grade 12 certificate or an equivalent qualification. Beyond the formal qualification, the role demands demonstrable competency in acting independently, professionally, accountably and with credibility. Strong communication and administrative skills are essential, including report writing, verbal and written communication, and customer focus. The ideal candidate will have excellent problem-solving and analytical skills, sound computer literacy in MS Word, Excel, the MS Office suite and Outlook, and the flexibility to handle a wide variety of tasks. Document administration, writing skills and task time management are also key competencies for this position.
The duties are broad and varied. The Administrative Clerk will design and maintain a well-organised administrative system for the office, execute a wide range of administrative tasks, and draft correspondence to members of the public, other organisations and State departments. The role involves liaising with administration on all matters pertaining to the office's administrative functioning, and providing administrative support to legal staff in respect of finance, logistics and human resources. The clerk will also deliver mail and faxes within the office, and render general administrative support such as filing, photocopying, faxing, receiving and dispatching documents. Court administration services form a significant part of the role, including assisting with the efficient management of court rolls, submitting monthly reports and statistics, and providing case records services.
Applicants should note several important conditions. Applications must be submitted on the most recent Z83 form, accompanied by a comprehensive CV, and must reach the NPA by the closing date; late applications will not be processed. Only shortlisted candidates will need to submit certified copies of qualifications and other documents, and foreign qualifications must be accompanied by a SAQA evaluation report. The NPA uses an electronic response handling system for emailed applications, and candidates should not contact the office directly to enquire about receipt. Successful candidates will be subjected to a security clearance of at least confidential, and appointment will be provisional pending that clearance. Fingerprints will be taken on the day of the interview, and the social media accounts of shortlisted applicants may be accessed as part of verification. All shortlisted candidates will undertake two pre-entry assessments: a practical exercise and an integrity assessment. The NPA is not in a position to pay resettlement costs. If no feedback is received within six months of the closing date, applicants should accept that their application was unsuccessful.
