This position supports the medico legal services unit at Groote Schuur Hospital in Observatory, where the incumbent will serve as the administrative anchor for a busy environment handling patient records and legal-related requests. The role requires someone who can run a professional front desk, manage office workflows, and maintain reliable electronic and paper records, all while liaising with clinical staff, patients, external agencies and other stakeholders. Given the medico legal setting, the work is detail-sensitive and often time-bound, and the successful candidate will need to operate calmly under pressure and protect confidential information.
To be considered, candidates need a Grade 12 or equivalent and appropriate experience in a medico legal environment, together with practical office administration and client care experience. The required competencies include good planning, organisational, interpersonal and communication skills, as well as the ability to meet deadlines. Knowledge of Clinicom is essential for requesting and transferring patient folders, and the candidate must be able to compile statistics and draft reports. Familiarity with Electronic Content Management (ECM) is also expected, along with a working knowledge of the POPI and PAIA Acts, since handling patient and legal records involves strict privacy and access requirements. The post further requires basic computer literacy in MS Word, Excel and Outlook, and a willingness to undergo development courses to keep skills current.
The main duties cover a broad administrative support function. The clerk will provide an effective and efficient reception and administration service, manage the office, and act as a link between internal and external clients. This includes creating, registering, updating and managing databases, as well as controlling the electronic management of records. A key part of the job is requesting and transferring patient folders using Clinicom, processing client and patient requests, and preparing documents for completion by clinical staff, particularly in relation to RAF, WCA, SAPS and insurance matters. The clerk must also ensure that statistical data is submitted timeously, collate and compile monthly reports, and provide general assistance to the Supervisor and Head of Department whenever needed. Because the unit deals with medico legal queries, the work requires precision, confidentiality and the ability to prioritise competing demands.
No payment is required for any stage of the application, and applicants should guard against any request for money. This is a structured support post within the provincial health department, and the successful candidate will be based at Groote Schuur Hospital. Full application details, including the relevant circular and post number, are contained in the vacancy notice, and prospective applicants should review those instructions carefully before applying. This is a demanding but valuable role for someone who enjoys organised administrative work and wants to contribute to the smooth functioning of a hospital medico legal unit.
