This position offers an opportunity to contribute directly to patient care within the Western Cape government’s Metro Health Services, based at the Brackengate Transitional Care Facility. As an Administration Clerk specialising in Medical Records, the successful candidate will be responsible for ensuring that the facility’s medical records system operates efficiently and accurately. The role is essential to the smooth functioning of the hospital, as it supports clinical staff, administrative departments, and external stakeholders by maintaining the integrity and availability of patient files. The post also requires a willingness to travel between the Western Cape Rehabilitation Centre and Brackengate Transitional Care Facility when operational needs arise, and to provide additional support within the Admissions and Fees departments when required. This flexibility is a key part of the role, reflecting the dynamic nature of health service administration.

To be considered for this post, applicants must hold a Senior Certificate or equivalent qualification. In addition, the role demands appropriate experience in a medical records environment within a hospital setting, as well as practical experience in patient administration. A valid driver’s licence is an inherent requirement, given the need to travel between facilities. The ideal candidate will possess a solid working knowledge of data capturing, file preparation, and quality assurance of medical records. Familiarity with the Western Cape Archive Act is essential, as the role involves the legal archiving and disposal of patient files. Computer literacy in MS Word and Excel is required, and knowledge of the Clinicom System will be a strong advantage, as this is the hospital system used for patient administration and records management.

The core duties of the position are centred on delivering an effective and reliable medical records service to the hospital. This includes managing and maintaining patient files from admission through to archiving, ensuring that all records are complete, accurate, and stored in accordance with relevant legislation. The clerk will also be responsible for the archiving and disposal of patient files, following the prescribed procedures of the Western Cape Archive Act. Another important function is the collection, compilation, and submission of statistics to the supervisor, which supports hospital management and reporting. The role also involves printing reports and retrieving files for various departments, often under time pressure, to support clinical and administrative decision-making. Finally, the clerk is expected to provide effective support to the supervisor, colleagues, and other departments, contributing to a cooperative and efficient working environment.

This is a permanent government post, and applicants are reminded that no payment of any kind is required when applying. The position is advertised through the provincial circular system, and interested candidates should ensure they meet all the stated requirements before applying. The role offers a chance to build a career in public health administration while making a meaningful difference in the quality of care delivered to patients.
