This position is for an Administration Clerk Supervisor based at the Boskop Hydrological Services Office, operating within the Hydrological Services sub-directorate of the Gauteng Provincial Operations under the Department of Water and Sanitation’s Water Resources Management branch. The role is essentially a supervisory clerical post that ensures the smooth day-to-day administrative functioning of the sub-directorate. The incumbent will be responsible for leading a small administrative team and for coordinating a wide range of support services, from general office duties to supply chain, personnel and financial administration. The post is graded at a clerical supervisory level and offers an opportunity for an experienced administrative professional to take on meaningful responsibility within a government water services environment.

To be considered, applicants must have a Senior Certificate or Grade 12, or a relevant qualification, together with three to five years of experience in office administration. A certificate or national diploma in office administration or a related field will be an added advantage. The role demands a solid working knowledge of clerical functions, basic financial practices, data capturing and the collation of administrative statistics. Familiarity with the legislative framework governing the Public Service is essential, as is knowledge of financial operating systems such as PERSAL, BAS and LOGIS, and an understanding of human resources prescripts. The successful candidate must be a flexible team player with strong computer literacy, planning, organising, execution, reliability and administrative skills. Excellent verbal and written communication, problem-solving, creativity and initiative are also required, along with accountability, ethical conduct, sound interpretation skills, attention to detail and the ability to handle confidential information. The ability to multitask, work under pressure and maintain a client-oriented, customer-focused approach is equally important.

The core duties involve providing and managing administrative support for the sub-directorate. This includes supervising general clerical services such as typing, checking and verifying submissions, minutes and letters, arranging meetings, filing approved minutes, managing the correspondence register, maintaining the filing system, handling routine enquiries and managing photocopy machines and related administrative functions. In addition, the supervisor will oversee supply chain and asset management clerical support, which entails maintaining office stock control, the asset register and storeroom management in line with SCM and asset management processes. Personnel administration duties include maintaining leave and attendance registers, personnel records, retirement forms and leave records, as well as making travel arrangements. Financial administration responsibilities involve ensuring budget information and expenditure are accurately captured, processing official claims and monitoring telephone and cell phone accounts. The supervisor is also expected to mentor subordinates by allocating work, ensuring quality, supporting personnel development, assessing performance and applying discipline.

Shortlisted candidates should note that the department applies a range of pre-employment checks, including suitability verification such as SAQA qualification checks, reference checks, and criminal and credit checks. Foreign qualifications must be accompanied by a SAQA evaluation certificate when shortlisted, and foreign nationals or dual citizenship holders must provide a police clearance certificate from their country of origin. All shortlisted candidates will be required to undergo two pre-entry assessments, one practical exercise and one integrity assessment, and may need to complete a financial disclosure form and undergo security clearance. The Department of Water and Sanitation is an equal opportunity employer, and employment equity objectives as set out in the Constitution and the Employment Equity Act will be considered. Women and persons with disabilities are encouraged to apply, and preference will be given to candidates in line with the department’s equity targets. Correspondence is limited to shortlisted candidates, and applicants who do not receive feedback within three months should consider their application unsuccessful. The department reserves the right not to fill the post.
