This position offers an entry-level opportunity within the Demand and Acquisition Management Directorate of a national government department, based in Pretoria, Gauteng. As an Administration Clerk specialising in losses and claims, the successful candidate will play a central role in ensuring that the department’s financial and administrative processes around loss events and claims are handled accurately, transparently, and in line with public service regulations. The role is structured at a clerical level and is ideal for a candidate with a Grade 12 certificate who is eager to build a career in public sector administration, particularly in the areas of financial reconciliation, record-keeping, and stakeholder liaison.
The core responsibilities revolve around the full lifecycle of losses and claims administration. This includes opening case files, ensuring they are correctly labelled and supported by the necessary documentation, and conducting compliance reviews on loss and claim invoices. The clerk will also be expected to investigate losses and claims by liaising with various internal and external stakeholders, following up on outstanding information in a timely manner, and compiling memos to Legal Services for formal legal opinions. A significant portion of the work involves maintaining and updating registers for losses and claims, clearing suspense accounts, and compiling journals to clear the Damage Vehicle Suspense Account. The role also requires preparing reconciliations of processed journals against the Losses and Claims Registers to verify accuracy and completeness, making attention to detail and numerical accuracy essential.
Beyond the specialised losses and claims function, the position provides broader clerical and administrative support within the component. This includes performing leave administration, serving as the Local Transport Control Officer, and providing financial administration support. The clerk will capture and update expenditure, check the correctness of subsistence and travel claims submitted by officials before forwarding them to the manager for approval, and handle telephone accounts and petty cash for the component. This variety means the incumbent must be flexible, well-organised, and capable of managing multiple priorities within a team environment.
Candidates need only a Grade 12 certificate, as no prior work experience is required. However, applicants should possess knowledge of basic accounting principles, clerical duties and practices, and the ability to capture data, operate a computer, and collect statistics. A sound understanding of the legislative framework governing the Public Service, as well as the working procedures relevant to the environment, is also expected. Key skills include good verbal and written communication, planning and organisation, computer literacy, strong interpersonal relations, flexibility, and the ability to work effectively within a team. The department has set an employment equity target for this post, specifically favouring African Males, Coloured Males, Indian Females, and Persons with Disability, and interested candidates should be prepared to meet the conditions attached to this advertised public service position.
