This position is for an Administration Clerk specialising in Information Management, with two posts available within the Office of the Chief Director: Metro Health Services in the Western Cape Department of Health and Wellness. The role sits at the heart of the department’s information and reporting function, supporting the management, analysis and presentation of corporate data that informs decision-making across Metro Health Services. The successful candidates will work within a multidisciplinary team and will be expected to support both the Metro East and Metro West portfolios, while also providing cross-cover across the broader Metro Health Services footprint. This is a hands-on administrative and technical support role, requiring regular interaction with facilities, systems and staff across the region.
Applicants must hold a Senior Certificate (Grade 12) or equivalent qualification. In addition, they need appropriate experience in information management, data administration, records administration, reporting or office administration. Practical experience in collecting, validating, analysing and presenting information using spreadsheets, reports, graphs and presentations is essential, as is experience in supporting users on information systems, digital platforms or business applications. Experience specifically within healthcare information systems is also required, reflecting the clinical and operational environment in which the role operates. The job carries inherent requirements, including a valid Code B driver’s licence and a willingness to travel between Department of Health and Wellness facilities across Metro Health Services for system support, asset verification and service support visits. Candidates must also be willing to work overtime when operationally required and authorised, and must demonstrate the ability to maintain confidentiality and manage information, records and user access permissions responsibly.
The ideal candidate will possess strong analytical, organisational and problem-solving skills, with sound information management, reporting and data quality capabilities. Advanced computer literacy is critical, particularly strong Microsoft Excel skills and the ability to prepare dashboards, reports and presentations. Knowledge of Microsoft 365 applications, including Word, Excel, PowerPoint, Teams and SharePoint, is expected, along with familiarity with Microsoft Power Platform technologies such as Power BI, Power Apps and Power Automate. The role also requires the ability to provide first-line systems administration and digital support, as well as first-line IT support to troubleshoot common hardware, software and connectivity issues. Knowledge of asset administration, records management and audit requirements is important, as is a strong customer service orientation and the capacity to work independently and within a team.
The duties are broad and include collecting, collating, validating, analysing and presenting corporate information and management information products for Metro Health Services. The post holder will compile routine and ad hoc reports, dashboards, graphs, presentations and other decision-support products. They will support the administration of designated business systems, including user account administration, user support, access management, system testing, user onboarding and training activities, with specific focus on key systems such as SWIMS, SPV and other approved systems. The role also involves developing and maintaining approved digital solutions using Microsoft Excel, Power BI, Power Apps, Power Automate, Forms and SharePoint to improve business processes and reporting. First-line IT and end-user support is a core component, covering computers, laptops, monitors, printers, peripherals, approved software and connectivity issues, with incidents recorded, tracked and escalated where necessary. Additional responsibilities include providing meeting-room, boardroom and audio-visual support, including Microsoft Teams meetings and hybrid meeting environments, as well as maintaining IT asset registers, supporting device allocation and verification processes, administering DITCOM applications and managing ICT consumables and related administrative processes.
This is a public service post, and applicants should note that no payment of any kind is required when applying. The role offers an opportunity to contribute meaningfully to health service delivery through robust information management and digital support, within a dynamic and service-oriented environment.
