This position offers an entry-level administrative role within the Education District Office, specifically supporting the Conditions of Service component. As an Administration Clerk, you will be responsible for the smooth day-to-day running of clerical and record-keeping functions that underpin the management of educator and staff conditions. The role is based in one of two district offices, either OR Tambo Inland or Nelson Mandela Bay, and forms part of the broader provincial education department’s human resources and administrative support structure. The work is varied and requires a methodical, organised approach, as you will handle everything from filing and correspondence to procurement support and leave administration.
To be considered, you need a Grade 12 certificate; no prior work experience is required, making this an excellent opportunity for school leavers or those starting a career in public administration. However, you must demonstrate effective verbal and written communication skills, with a good command of English, as well as sound reasoning and mathematical ability. The role demands strong problem-solving skills, the capacity to multitask, and the ability to work under pressure. Knowledge of the Public Finance Management Act (PFMA), Treasury Regulations, the Public Service Act, and the Employment of Educators Act is expected, while familiarity with the education sector will be an added advantage. These legislative frameworks are central to the duties you will perform, particularly around procurement, financial claims, and personnel records.
Your core duties will involve recording, organising, storing, capturing, and retrieving correspondence and data, updating registers and statistics, and handling routine enquiries from internal and external stakeholders. You will also be responsible for making photocopies, sending and receiving faxes, and distributing documents to various parties. Maintaining the component’s filing system, typing basic letters, and keeping both incoming and outgoing registers are daily tasks. You will liaise with stakeholders regarding the procurement of goods and services, obtain quotations, complete procurement forms for standard office items, and manage stock control of stationery. Additionally, you will maintain the asset register, leave register, attendance register, and personnel records for the component. Arranging travel and accommodation, checking subsistence and travel claims for correctness before manager approval, and handling telephone accounts and petty cash are also part of the role.
This is a permanent, OSD-graded position at Level 05, with a competitive entry-level salary. The department is committed to employment equity and will apply affirmative action measures to achieve equitable representation across race and gender, though applications from all groups are welcome. Shortlisted candidates will need to submit certified copies of qualifications and other documents before the interview, and all selected candidates will undergo a personnel suitability check, including criminal record, citizenship, financial, and qualification verification. A probation period of twelve to twenty-four months applies. If you have not been contacted within six months of the closing date, your application was unsuccessful. This role is ideal for a detail-oriented individual who thrives on structured administrative work and wants to contribute to the effective functioning of the education department.
