This position offers an excellent entry-level opportunity within the Eastern Cape Department of Education, serving as an Administration Clerk in the Circuit Admin Support Unit. Based at one of three district offices—Mbizana Coastal, Mbizana Inland, or Ntenetyana Circuit—the successful candidate will provide essential administrative and clerical support to ensure the smooth functioning of the education district office. This is a Level 05 role within the public service structure, and there are seven posts available across the specified locations, making it a substantial recruitment drive for the region.
Candidates need only possess a Grade 12 certificate, as no prior work experience is required, making this an ideal role for school leavers or those seeking to begin a career in public administration. However, applicants must demonstrate effective written and verbal communication skills, including a strong command of the English language. A solid understanding of key legislative frameworks such as the PFMA, Treasury Regulations, the Public Service Act, and the Employment of Educators Act is essential. Furthermore, the role demands well-developed reasoning and mathematical abilities, innovative thinking, and strong problem-solving skills. The ability to execute a variety of tasks simultaneously and perform effectively under pressure is crucial, while any prior knowledge of the education sector will be considered a distinct advantage.
The core duties of this role are varied and central to the operational efficiency of the circuit office. The incumbent will be responsible for the full records management cycle, including recording, organising, storing, capturing, and retrieving correspondence and data. This involves updating registers and statistics, managing the component’s filing system, and maintaining both incoming and outgoing registers. The clerk will also handle routine enquiries, make photocopies, send facsimiles, and distribute documents to various stakeholders. A significant portion of the work involves procurement and financial administration support, such as liaising with internal and external parties for goods and services, obtaining quotations, completing procurement forms, and managing stock control of office stationery. Additionally, the role includes maintaining the asset register, leave register, attendance register, and personnel records for the component. The clerk will also arrange travel and accommodation for officials, check the correctness of subsistence and travel claims before manager approval, and handle telephone accounts and petty cash.
Applicants should note that this is a permanent position with a probation period. The selection process will be rigorous, including personnel suitability checks, verification of qualifications and employment history, and potentially a skills or knowledge test. All shortlisted candidates will undergo pre-entry assessments, including a practical exercise and an integrity assessment. The department is committed to achieving equitable representation across race and gender in line with its Employment Equity Plan, and these targets will be adhered to during the selection process. Correspondence will be limited to shortlisted candidates only, and those not contacted within six months of the closing date should consider their application unsuccessful.
