This position is for an Administration Clerk within the Admissions and Fees Department at Groote Schuur Hospital in Observatory, serving the Patient Administration unit for both inpatients and outpatients. The role is central to the smooth functioning of the hospital’s revenue and patient flow processes, ensuring that all administrative and financial procedures are carried out in line with Western Cape Government health policies. As part of the Fees Department, the clerk will be responsible for the full spectrum of patient administration duties, from reception and admissions to billing and the handling of state funds. The work environment is fast-paced and requires a high level of accuracy, professionalism, and a strong sense of confidentiality, given the sensitive nature of patient information and financial transactions.
To be considered for this vacancy, applicants must hold a Senior Certificate or equivalent, with Mathematics and/or Accountancy as a passed subject. Alternatively, a Senior Certificate combined with relevant experience and competencies that directly address the key performance areas of the post will be accepted. Crucially, candidates need appropriate experience working in a hospital fees environment, as this is not an entry-level administrative role. The job also has an inherent requirement to work shifts, which means flexibility in working hours is essential. Desired competencies include a working knowledge of Hospital Fees Memorandum 18, UPFS, HIS Clinicom, and Finance Instructions, alongside strong computer literacy and the ability to work under pressure. The successful candidate must also demonstrate accountability, the capacity to work independently, and excellent verbal and written communication and interpersonal skills.
The duties are varied and demanding. The clerk will perform inpatient and outpatient administration functions in accordance with PGWC policies and procedures, including operating systems such as Clinicom, Billing, Hectis, and other provincial government computer applications. Reception duties are also part of the role, as is the handling and receiving of public money, which extends to cash collection and the banking of state funds. The position involves the admission, transfer, and discharge of patients strictly according to hospital fees policies, as well as debiting charge entries to invoices per UPFS and PGWC billing procedures. Attending to patient queries by phone, in writing, or face-to-face is a key responsibility, along with ICD10 coding and providing cover for colleagues in the department when needed.
