    This position offers an opportunity to join the administrative team at Stellenbosch Hospital within the Cape Winelands Health District, focusing specifically on admissions and patient administration. As an Administration Clerk dedicated to admissions, the successful candidate will play a central role in ensuring that patient registration, medical records management, and related financial processes run smoothly within the hospital environment. The role operates within a busy health district and requires a service-oriented individual who can maintain accuracy and professionalism while handling sensitive patient information and state funds.

    To be considered for this role, applicants must hold a Senior Certificate or equivalent qualification, with Mathematics and/or Accounting as passed subjects. Alternatively, candidates with a Senior Certificate together with relevant experience or competencies focused on the key performance areas of the post will also be considered. The position also requires appropriate experience in patient administration, medical records, and familiarity with Clinicom, the hospital’s electronic patient information system. Because the hospital operates around the clock, applicants must be willing to work 12-hour shifts, including night duty, weekends, and public holidays, as well as overtime when operational needs demand it. The ability to comply with internal rotation schedules within the component is also an inherent requirement.

    Strong computer literacy in MS Word, Excel, and Office is essential. Candidates should also have working knowledge of Clinicom and the Hospital Emergency Centre Tracking Information System. An understanding of the Public Finance Management Act (PFMA), the Hospital Fees Memorandum 18, and responsibilities linked to finance management is required, as is familiarity with the filing, archiving, and disposal processes for patient records.

    The core duties of the post involve the effective registration of patient information on Clinicom, including the accurate capturing of all attendances and admissions, even during system downtime. The clerk will also be responsible for handling state monies and ensuring sound cash management in accordance with applicable regulations. Medical records duties are central to the role and include opening new folders, record keeping, filing, drawing folders for clinical use, merging duplicate records, culling outdated files, archiving, and ultimately the disposal of patient folders as per policy. The position further requires the efficient implementation of all relevant policies, procedures, and instructions, while also handling ad-hoc administrative tasks, answering telephone and over-the-counter enquiries with professionalism, and providing support to both the supervisor and fellow staff members.
