    Under the guidance and supervision of the Project Manager, the Project Administrative Assistant will assist the Project Manager in day-to-day management and oversight of project activities.

    Requirements

    A National Diploma or Bachelor’s degree or an equivalent qualification in Project Management, Environmental Management, Electrical /Electronic Engineering, Energy Economics, Physics or another field with direct relevance to the project. At least three (3) years of work experience preferably in a project involving biodiversity conservation, natural resource management and/or sustainable livelihoods. Previous experience with UN or DBSA projects will be a definite asset. Strong inter-personal skills Proficiency in the use of computer software applications especially MS Word and MS Excel.     Duties

    Under the guidance and supervision of the Project Manager, the Project Administrative Assistant will carry out the following tasks: Assist the Project Manager in day-to-day management and oversight of project activities; Assist the M&E officer in matters related to M&E and knowledge resources management; Ensure all project documentation (progress reports, consulting and other technical reports, minutes of meetings, etc.) are properly maintained in hard and electronic copies in an efficient and readily accessible filing system, for when required by the PSC, DBSA, UNDP, project consultants and other PMU staff; Provide PMU-related administrative and logistical assistance. 4.1 Support the Project Manager on day-to-day management of the project. 4.2 Support the Project Manager in the preparation of well-designed work plans, budgets, and proposals on implementation arrangements. 4.3 Support the Project Manager in preparation of basic analyses and information required for all reporting communication needs. 4.4 Support preparation and follow-up on results-based project performance indicators/ success criteria, targets and milestones, preparation of reports. 4.5 Support preparation of project audits and related assessments, and support implementation of audit recommendations. 4.6 Initiate the project, entering project into Quantum, and support the timely preparation of required budget revisions. 4.7 Support implementation of organisational and logistical requirements of project implementation. 4.8 Provide logistical assistance associated to organisation of all meetings and events, and execute travel arrangements. 4.9 Facilitate knowledge building and knowledge sharing. 4.10 Documenting and filing of all pertaining to the Project using the corporate platforms. 4.11 Liaising between the partners (UNDP, DEE/ SANEDI, DBSA), members of the Project Steering Committee and other project stakeholders. 4.12 In supporting the Project Coordinator, assist in engaging DBSA counterparts in a timely manner on project finance and administrative information and provide analyses of these to the Project Coordinator to enable reporting requirements. 4.13 Initiate the project, entering project into Quantum, and support the timely preparation of required budget revisions. 4.14 Support analysis of the project situation, identify operational/administrative problems, and develop solutions. 4.15 Implement UNDP administrative/operational work flows, Standard Operating Procedures, and the Internal Control Frameworks. 4.16 Support contract management of project goods and services.
