This position offers an opportunity to contribute to the integrity of public service appointments by managing the security vetting process within a government department. Based in Pretoria, the Admin Officer: Vetting operates within the security services environment, playing a central role in the administration and coordination of security clearance applications. The incumbent will be responsible for the full lifecycle of vetting documentation, starting with the issuing and receiving of Z204 application forms, which are the standard security screening questionnaires. These forms must be accurately captured on the Security Vetting Database (SVIS), and the officer will be expected to update and monitor the database to reflect the current status of each application. This includes tracking progress, identifying bottlenecks, and ensuring that security documents are delivered or collected timeously. The role also involves responding to internal and external enquiries about the status of security clearance applications, as well as preparing statistics and progress reports for management. Building and maintaining productive relationships with external stakeholders such as the South African Police Service (SAPS), the State Security Agency (SSA), and appointed credit bureaus is a key part of the role, ensuring that vetting processes run smoothly and that information is shared appropriately.
To be considered for this role, applicants must hold a three-year National Diploma or Degree in Security Risk Management, or an equivalent qualification at NQF level 6 or 7 as recognised by SAQA. A minimum of two years’ experience in security services is required, along with proficiency in MS Excel and MS Word. The successful candidate will need to demonstrate a range of generic competencies, including quality of work, initiative, interpersonal relations, reliability, communication, teamwork, and planning and execution. Technical competencies are equally important, specifically office administration, knowledge of Minimum Information Security Standards (MISS) reporting within security services, and an understanding of the Occupational Health and Safety Act.
The department has set out several important conditions for applicants. A newly completed application for employment form (Z83) must be used, as the old form will not be accepted. Applications must be accompanied by a comprehensive CV that includes specific starting and ending dates for all relevant positions, clarity on levels and ranks, the current remuneration package, and at least two contactable references. Only shortlisted candidates will be asked to submit certified documents before interviews. It is the applicant’s responsibility to have foreign qualifications evaluated by SAQA. All shortlisted candidates will undergo pre-entry assessments, including a practical exercise and an integrity assessment. The successful candidate will be subject to a pre-employment screening process covering criminal, credit, and citizenship checks, as well as verification of qualifications. The appointment is subject to a 12-month probation period and the signing of a performance agreement. Correspondence is limited to shortlisted candidates, and if no contact is made within three months of the closing date, applicants should consider their application unsuccessful. Persons with disabilities are encouraged to apply.
