This permanent administrative clerk position is based at the Randfontein Campus of Western TVET College and falls within the institution’s administration services unit. The role is central to the smooth running of campus administrative functions, with a strong focus on student registration, academic record keeping, switchboard operations and procurement support. As an OSD-graded post at level five, it offers a stable career path within the public education sector, with the standard benefits associated with a PERSAL appointment. The successful candidate will work under the campus management team and will be expected to uphold the college’s Standard Operating Procedures while delivering efficient, accurate and customer-focused services to students, staff and the public.
Applicants must hold a Matric or Grade 12 certificate together with a recognised three-year National Diploma or Degree in Public Administration, Management Assistant, Office Management and Technology, or another relevant qualification. Computer literacy is essential, and a valid driver’s licence will be an added advantage. The ideal candidate should have a working knowledge of student registration processes and procedures, as well as switchboard operation and proper telephone etiquette. Strong data capturing skills, sound organisational abilities, effective communication at all levels, customer service awareness and report writing skills are also required. A high level of integrity and loyalty is expected, given the sensitive nature of student records and procurement documentation handled in this role.
The core duties involve administering and assisting with student registration in line with the college’s Standard Operating Procedures. This includes capturing and verifying student information on the Business Management System, printing and distributing control lists and class registers, and verifying data before submission to the Department of Higher Education and Training. The clerk will also screen and process online applications, attend to student and public enquiries, and operate the campus switchboard, directing calls appropriately. Accurate capturing of student marks and absenteeism is a key responsibility, along with maintaining updated academic records and ensuring that all information is securely stored and accessible when required. In addition to academic administration, the role extends to procurement-related tasks such as capturing and administering requisition forms, receiving goods and services, verifying deliveries against relevant documents, following up on outstanding orders, and ensuring proper documentation and filing for all procurement transactions at campus level. The position also provides administrative support for the application of college bursaries to the campus management team.
