Requirements
Matric, a National Diploma or Degree (NQF Level 6/7) in Public Administration, Office Management, Business Administration, Human Resources Management, or an equivalent qualification. A minimum of 3–5 years’ experience in administrative management, of which at least 3 years must be at a supervisory level. Experience working in the Oral Health Services environment. A postgraduate qualification in Management will be an added advantage. Strong knowledge of Public Service prescripts, including, Treasury Regulations, Labour relations and relevant HR policies. Proven experience in office management, coordination of meetings, and executive support. Advanced computer literacy in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint). Excellent organisational, communication, and report-writing skills. Ability to work under pressure and manage multiple priorities. A valid driver’s licence.
Duties
Provide comprehensive administrative and operational support to the Provincial Oral Health Services Directorate. Manage and coordinate the overall functioning of the office, including developing and maintaining efficient office systems, processes, and controls to enhance service delivery. Manage workflow, priorities, and deadlines within the Directorate, ensuring alignment with strategic objectives. Provide high-level strategic and administrative support to the Directorate. Coordinate the preparation of reports, submissions, briefing notes, and presentations. Track the implementation of decisions and resolutions from management and governance structures. Support the Directorate in fulfilling governance responsibilities in line with relevant Public Service prescripts. Manage and coordinate the executive diary in alignment with strategic priorities. Assess and prioritise meeting requests and ensure the timely provision of documentation to support engagements. Coordinate logistics for high-level meetings with Executive Management, stakeholders, districts, and external partners. Coordinate Directorate-led meetings, including compiling agendas, preparing meeting packs, recording resolutions, and monitoring implementation of action items. Maintain a tracking system for commitments, deadlines, and follow-ups. Oversee records management, document control, and ensure compliance with departmental policies. Manage confidential and strategic documents in line with government records management requirements. Supervise administrative staff, including interns, and ensure continuity and sustainability of administrative support services within the Directorate. Monitor administrative performance and implement systems to improve efficiency and productivity. Support strategic planning processes, performance reviews, and reporting within the Directorate. Facilitate coordination with districts, oral health centres, and stakeholders to ensure effective communication and programme support.
