This position offers an opportunity to serve as an Administration Clerk focused on asset and stores management within the Amathole West and Sarah Baartman Education District Offices, operating under the provincial Department of Education. As a Level 05 post within the district office component, the role is central to maintaining orderly records, controlling physical resources, and supporting the administrative backbone of the education district. The successful candidate will work under the direction of the district office management, ensuring that all assets, stationery, registers, and correspondence are accurately tracked and readily accessible. This is a demanding but rewarding role for someone who thrives on organisation, precision, and multi-tasking in a fast-paced public service environment.

Candidates must hold a Grade 12 certificate, with no prior work experience required, making this an accessible entry-level position for those starting their careers in government administration. However, applicants need to demonstrate effective written and verbal communication skills, particularly a good command of English, as well as a working knowledge of the Public Finance Management Act (PFMA), Treasury Regulations, the Public Service Act, and the Employment of Educators Act. Strong reasoning and mathematical abilities, innovative thinking, and problem-solving skills are essential, along with the capacity to execute a variety of tasks under pressure. While not mandatory, any prior exposure to the education sector will be considered an added advantage. The role demands someone who can liaise confidently with internal and external stakeholders, manage multiple registers simultaneously, and maintain meticulous attention to detail.

The core duties are wide-ranging and include recording, organising, storing, capturing, and retrieving correspondence and data as part of the line function. The clerk will update registers and statistics, handle routine enquiries, make photocopies, send and receive facsimiles, and distribute documents or packages to various stakeholders. Maintaining the component’s filing system, typing basic letters and correspondence, and keeping the incoming and outgoing register are routine responsibilities. In the asset and stores management sphere, the clerk will liaise with stakeholders regarding procurement of goods and services, obtain quotations, complete procurement forms for standard office items, and control the stock of office stationery. The role also involves maintaining the asset register for the district offices, managing the leave register, keeping personnel records, and overseeing the attendance register. Additional duties include arranging travel and accommodation for officials, checking the correctness of subsistence and travel claims before submission to the manager for approval, and handling telephone accounts and petty cash for the component.

This is an OSD-graded position with a structured salary scale, and the recruitment process follows the provincial e-recruitment system. Applicants must submit a fully completed Z83 form and a detailed CV through that system; certified copies of qualifications and other documents are only required for shortlisted candidates, who will also undergo a personnel suitability check including criminal record, citizenship, financial, qualification, and employment verification. All shortlisted candidates will be required to complete pre-entry assessments, including a practical exercise and an integrity assessment, which will be scored as part of the interview process. The department is committed to employment equity and will apply affirmative action measures to achieve equitable representation across race and gender, while welcoming applications from all racial groups. Successful candidates will serve a probation period of twelve to twenty-four months. Correspondence is limited to shortlisted applicants, and if you have not been contacted within six months after the closing date, you should consider your application unsuccessful. This is a demanding administrative post that offers a solid foundation in public service asset and records management, with clear expectations for accuracy, accountability, and stakeholder communication.
