The duties attached to this post are varied and encompass the full spectrum of administrative and procurement support. The incumbent will be expected to record, organise, store, capture, and retrieve correspondence and data, update registers and statistics, and handle routine enquiries from both internal and external stakeholders. Other responsibilities include making photocopies, sending and receiving facsimiles, distributing documents and packages, and maintaining the component’s filing system. The role also involves typing basic letters and correspondence, keeping incoming and outgoing registers, and liaising with stakeholders regarding the procurement of goods and services. This includes obtaining quotations, completing procurement forms for standard office items, and managing the stock control of office stationery. Furthermore, the clerk will be responsible for maintaining the asset register, leave register, attendance register, and personnel records for the component. Additional duties include arranging travel and accommodation for officials, checking the correctness of subsistence and travel claims before submission to the manager for approval, and handling telephone accounts and petty cash.
Applicants should note that this is a permanent post subject to a probation period, and successful candidates will undergo a personnel suitability check, including criminal record, citizenship, financial, and qualification verification. Shortlisted candidates may also be required to undertake pre-entry assessments and a skills or knowledge test. The department is committed to addressing Employment Equity Affirmative Action Measures in line with its Employment Equity Plan, and while applications from all racial groups are welcome, the equity targets of the recruiting department will be adhered to.
