This position offers an opportunity to serve as an Administration Clerk within the EMIS, Governance and Special Programmes component at the Nelson Mandela Bay Education District Office, which operates under the Eastern Cape Department of Education. The role is central to the smooth administrative functioning of the district office, specifically supporting the education management information system, governance structures and special programme initiatives. As an administration clerk, you will be expected to provide reliable clerical and logistical support to the component, ensuring that records, correspondence, procurement processes and personnel administration are handled accurately and in line with public service regulations.
To be considered for this role, candidates must hold a Grade 12 certificate, with no prior work experience required. The position is therefore well suited to entry-level applicants who possess strong written and verbal communication skills, particularly a good command of the English language. A working knowledge of the Public Finance Management Act, Treasury Regulations, the Public Service Act and the Employment of Educators Act is essential, as these frameworks govern much of the administrative work undertaken. Applicants should also demonstrate well-developed reasoning, mathematical and innovative thinking abilities, along with sound problem-solving skills. The ability to execute a variety of tasks simultaneously and to perform under pressure is important, while prior knowledge of the education sector will be regarded as an added advantage.
The duties attached to this post are broad and hands-on. The successful candidate will be responsible for recording, organising, storing, capturing and retrieving correspondence and data, as well as updating registers and statistics. Routine enquiries must be handled professionally, and the clerk will also make photocopies, send and receive facsimiles, and distribute documents or packages to relevant stakeholders. Maintaining the component’s filing system, typing basic letters and other correspondence, and keeping the incoming and outgoing register are all core functions. In addition, the role involves liaison with internal and external stakeholders regarding the procurement of goods and services, obtaining quotations, completing procurement forms for standard office items, and controlling office stationery stock. The clerk will also maintain the asset register, leave register, attendance register and personnel records for the component. Travel and accommodation arrangements must be organised, and subsistence and travel claims must be checked for correctness before being submitted to the manager for approval. The role further includes handling telephone accounts and petty cash for the component.
Applicants should note that this is a government position subject to specific employment conditions. Shortlisted candidates will be required to produce certified copies of qualifications and other relevant documents before the interview, and all selected candidates will undergo a personnel suitability check, which may include criminal record, citizenship, financial asset, qualification and previous employment verification. Depending on the post level, pre-entry assessments, integrity testing, security clearance and a probation period may also apply. The department is committed to employment equity and will apply affirmative action measures in line with its Employment Equity Plan, while welcoming applications from all racial groups. This summary serves as a guide to the role’s requirements and responsibilities, and interested applicants are encouraged to review the full advertisement for further procedural details.
