This vacancy is for an Administration Clerk Production (Transport) based at the Boskop Hydrological Services Office, within the Gauteng Provincial Operations of the Department of Water and Sanitation. The post sits in the Hydrological Services sub-directorate, which falls under Water Resources Management. The role is central to supporting the directorate’s field and office operations by managing the transport and fleet function, as well as coordinating travel and related administrative processes. It is a structured clerical position at salary level 05, offering an opportunity for a detail-oriented individual to contribute to effective resource management in a government water services environment.
Candidates must hold a Senior Certificate (Grade 12) or an equivalent qualification. While formal tertiary study is not required, relevant experience in transport services will be an added advantage. The department is looking for someone with solid knowledge of general clerical support, office administration, and data capturing, along with computer literacy in word processing and spreadsheet applications. Strong verbal and written communication skills are essential, as are practical skills in client orientation, customer focus, letter writing, and report writing. The ideal candidate will also demonstrate accountability, ethical conduct, and the ability to plan and organise work independently. Familiarity with the national water use registration process and knowledge of the National Water Act (Act 36 of 1998) and related legislation are also required, reflecting the technical context of the department. The ability to work under pressure is important, given the operational nature of transport coordination.
The main duties revolve around fleet management and travel administration. The incumbent will facilitate fleet coordination for regional and area offices, ensure all available vehicles are recorded and optimally used, and maintain vehicles according to required standards. This includes conducting pre- and post-trip inspections, arranging regular servicing and maintenance with service providers, and managing the accounts between the Directorate and those providers. The clerk will reconcile fleet accounts against agreed tariffs, match BAS and SAP reports with account statements, and process requisitions for short-term vehicle rentals. In the event of accidents, the role involves liaising with the service provider for a relief vehicle. The position also controls and manages the transport unit, procures vehicles for the provincial office, and provides monthly status reports on all fleet accounts. On the travel side, the clerk coordinates travel arrangements, works with a travel agency for bookings, monitors the directorate’s travel needs against budget, verifies payments, reconciles travel agency accounts, and promotes cost containment in car hire, accommodation, and flights. The clerk must also align travel policy adherence and compile management reports on cost savings, deviations, and exceptions.
This post is subject to the department’s recruitment and selection policies. Applications are only accepted online via the department’s e-recruitment system. Shortlisted candidates will need to produce certified copies of qualifications, identity documents, and other relevant paperwork at the interview stage, in line with the latest DPSA circular. Candidates must complete all compulsory fields on the online Z83 form, particularly those relating to professional or occupational registration, as failure to do so will result in disqualification. Suitability checks, including SAQA verification, reference checks, and criminal and credit checks, will be conducted on shortlisted applicants. Foreign qualifications must be accompanied by a SAQA evaluation certificate, and foreign nationals or dual citizens must provide a police clearance from their country of origin. All shortlisted candidates will be required to complete a financial disclosure form and undergo security clearance. The Department of Water and Sanitation is an equal opportunity employer, and in line with Section 195 of the Constitution and the Employment Equity Act, preference will be given to candidates from designated groups, with women and persons with disabilities especially encouraged to apply. The department reserves the right not to fill the post, and only shortlisted candidates will be contacted; applicants who do not receive feedback within three months should consider their application unsuccessful. Faxed or late applications will not be considered.
