This position is for an Administration Clerk Production focused on Supply Chain Management, based at the Boskop Hydrological Services Office under the Department of Water and Sanitation’s Gauteng Provincial Operations. The role sits within the Hydrological Services sub-directorate, under the broader Water Resources Management directorate, and is central to supporting the region’s transport and travel functions. The post is graded at salary level 05, offering an entry-to-mid-level career opportunity for an organised and detail-oriented administrative professional.

To be considered, applicants must hold a Senior Certificate or Grade 12, or an equivalent relevant qualification. While formal experience in supply chain management is an added advantage, the role does require a solid foundation in general clerical support, office administration, and data capturing. Computer literacy is essential, particularly a sound working knowledge of word processing and spreadsheet applications. Strong verbal and written communication skills are also required, along with the ability to produce letters and reports. The successful candidate will need to demonstrate client orientation and customer focus, accountability, ethical conduct, and the ability to plan and organise work effectively. Experience with the national water use registration process and knowledge of the National Water Act (Act 36 of 1998) and other relevant legislation will be beneficial, as will the capacity to perform well under pressure.

The core responsibilities centre on managing the transport unit and coordinating fleet services for regional and area offices. This includes ensuring all available fleet vehicles are accurately recorded, optimally utilised, and well maintained, and that correct procedures are followed when vehicles are issued. Daily pre- and post-inspection of vehicles is required for every trip, alongside arranging regular servicing and maintenance with service providers. The clerk will also manage accounts between the Directorate and external providers, reconcile fleet accounts against agreed tariffs, and compare BAS and SAP reports with statements of account. Additional fleet duties include processing applications for short-term vehicle rentals, liaising with providers to secure relief vehicles after accidents, and assisting with procurement of vehicles for the provincial office. A monthly status report on all fleet accounts must be compiled, and effective provisioning of transport reservations must be ensured.

Beyond fleet management, the role involves coordinating travel arrangements for the directorate. This includes liaising with a travel agency for bookings, monitoring travel needs to align with budget compliance, verifying payments, and reconciling accounts with the agency. The clerk will also be responsible for cost containment measures regarding car hire, accommodation, and flights, as well as aligning travel policy with practice and monitoring adherence, particularly for specified types of car hire. Reports to management on cost savings, deviations, and exceptions are also required.

Applications must be submitted online through the department’s e-recruitment system, and supporting documents need only be produced by shortlisted candidates during the interview stage, in line with recent public service circular instructions. Professional registration fields on the application form must be completed where applicable. Shortlisted applicants will undergo suitability checks including qualification verification, reference checks, and criminal and credit checks. Foreign qualifications require a SAQA evaluation certificate, and foreign nationals or dual citizens must provide a police clearance certificate from their country of origin. All shortlisted candidates will be required to complete a financial disclosure form and may be subject to security clearance, pre-entry assessments, and an integrity assessment. The Department of Water and Sanitation is an equal opportunity employer, with employment equity imperatives taken into account, and women and persons with disabilities are encouraged to apply. Correspondence is limited to shortlisted candidates, and those who do not receive feedback within three months should consider their application unsuccessful.
