This position offers an entry-level opportunity within the Information Services directorate of the Department of Land Reform and Rural Development, based in Pretoria, Gauteng. As an Auxiliary Service Officer, the successful candidate will play a vital supporting role in the management and administration of cadastral records, which are the official documents that define land ownership and boundaries in South Africa. The role is situated within a team that ensures these critical records are accurately processed, stored, and made available to both internal colleagues and external clients, including members of the public who require land information.
In terms of qualifications, applicants must hold a Grade 12 Certificate, and no prior work experience is required, making this an accessible opportunity for entry-level candidates. However, certain job-related knowledge and skills are essential. The role demands computer literacy, a basic understanding of maps and cadastral documents, good interpersonal relations, and strong verbal and written communication skills. Candidates should also be proficient in computer software, possess good organisational abilities, and demonstrate above-average attention to detail, as the work involves handling precise and legally significant documentation.
The core duties are varied and centre on the full lifecycle of cadastral document management. This includes receiving and registering diagrams, general plans, sectional titles, and survey records, as well as reproducing these documents for registration copies. The officer will administer cadastral documents, maintain the document vaults by making dummy trips and mark out boards, ensuring worn-out hanging strips are replaced, and arranging for damaged documents to be repaired. A significant part of the role involves providing cadastral information to internal and external clients, extracting and delivering documents requested by staff and public counters, and supplying information directly to external clients. Data management is also a key responsibility, requiring the capture of alpha-numeric data from cadastral documents into the database, correcting any captured errors or omissions when requested, and scanning all newly approved cadastral documents. The officer will attend to requests and projects for rescans, missing images, and support for the Client Service Centre and other divisions. Finally, the role includes archiving duties, such as preparing and filing documents in their respective vaults, conducting random checks on the state of filing and document condition, archiving newly approved documents, refilling old documents, and inserting mark out boards and dummy trips in place of extracted documents.
This is an OSD-graded position at level 05, and the department has specified equity targets for this post, with preference given to African, Indian, and White males, as well as African and Indian females and persons with disabilities. The post is advertised in the Public Service Vacancy Circular, and interested applicants should note the closing date and follow the prescribed application procedure, with enquiries directed to the named contact person.
