This position is one of eight advertised Administration Clerk posts for patient administration within the Limpopo Department of Health, based at a range of hospitals and a health centre across the province, including Nkhensani, Witpoort, George Masebe, Groblersdal, Grace Mugodeni, Louis Trichardt, Seshego and Pietersburg facilities. The role is a Level 05 clerical post focused on the administrative backbone of patient care, ensuring that patient information, billing and record-keeping are handled accurately and in line with departmental policies. As an administration clerk dedicated to patient services, the incumbent will work closely with clinical and administrative staff to manage the entire patient administrative journey, from admission through discharge and beyond, including financial, data-capture and reporting duties.

To be considered, applicants must have a National Senior Certificate or Grade 12 or Matric, combined with an NQF level 6 qualification in Financial Management, Accounting, Cost Management Accounting, or an equivalent recognised by the South African Qualifications Authority. Beyond formal education, candidates need to be flexible and resilient, as the job requires shift work including night duty, weekends and public holidays, as well as a willingness to work extra hours at short notice. Computer literacy is essential, specifically in MS Outlook, Word, Excel and PowerPoint, along with familiarity with virtual meeting platforms. A valid driver’s licence is required, except for applicants with disabilities. The ideal candidate should also demonstrate solid administrative skills, knowledge of record keeping, archive procedures and patient billing, and the ability to take accountability and work independently with minimal supervision.

The duties are broad and central to hospital operations. The clerk will capture patient information on PHIS and DHIS systems and maintain other health information platforms according to departmental policies, including ensuring that ICD-10 codes are correctly captured for each diagnosis. Key responsibilities include the admission and discharge of patients, managing patient appointments, performing inter-ward and inter-hospital transfers, and overseeing the movement of patient files. Financial administration is also a major component: the clerk will bill for services rendered, including procedures, pharmaceutical items, laboratory tests and blood services, using ICD-10 coding and UPFS, prepare patient invoices, follow up and trace outstanding accounts, and reconcile patient statistics against hospital admission and discharge registers. Ward administration, producing ward statistics, typing reports, filing and record keeping, and undertaking any other related administrative tasks as required all form part of the role.

This is a government position, so applicants should note that the selection process is governed by public service conditions. Shortlisted candidates will be invited for interviews and will need to present certified copies of their qualifications, identity documents and any relevant registrations. Applicants with foreign qualifications must have them evaluated by SAQA. The application itself must be accompanied by a fully completed new Z83 form and a comprehensive CV, with an understanding that incomplete or non-compliant applications may be disqualified. These posts offer an opportunity for a detail-oriented, patient-focused administrative professional to contribute meaningfully to the smooth functioning of public health facilities.
