The advertised posts are for two Personal Assistants providing high-level secretariat and administrative support within the Provincial Supply Chain Management directorate, based in Johannesburg. These roles are positioned within a government department that oversees supply chain operations, client support, and policy norms and standards. The successful incumbents will report to and support both the Chief Director and the Director in the directorate, ensuring that the office runs smoothly and that senior management can focus on strategic decision-making. This is a demanding yet rewarding position for an experienced administrative professional who thrives in a structured public service environment.
To be considered, candidates must hold a Matric certificate along with a Secretarial Diploma or an equivalent qualification. In addition, applicants need between three and five years of relevant experience in office management or a similar administrative role. Strong language skills and the ability to communicate effectively with people at various levels and from diverse backgrounds are essential, as is good telephone etiquette. Computer literacy is a non-negotiable requirement, and a working knowledge of the Public Service Act and related regulations will be an advantage. These requirements ensure that the Personal Assistant can operate with minimal supervision and handle sensitive matters with discretion.
The core duties involve rendering secretarial and receptionist support to the Deputy Director-General, Chief Director, and Director(s). This includes managing correspondence, screening calls, and providing a professional first point of contact for stakeholders. The role also entails broad administrative support functions, such as organising files, maintaining records, and coordinating office activities. The Personal Assistant will provide support to managers in arranging meetings, including preparing agendas, taking minutes, and following up on action items. Another key responsibility is assisting the manager with the administration of the budget, which involves tracking expenditure, preparing requisitions, and ensuring that financial processes align with departmental guidelines. The incumbent must also study relevant public service and departmental prescripts, policies, and other official documents, ensuring that these are correctly understood and applied in daily operations.
There are several important conditions attached to these vacancies. The department is actively encouraging youth, people with disabilities, and candidates from coloured, Indian, and white population groups to apply, in line with its equity targets. Applicants with disabilities must attach a confirmation certificate from a registered medical practitioner. The recruitment process includes pre-entry assessments for shortlisted candidates, covering a practical exercise and an integrity or ethical conduct test, and these results will be used as an additional scoring criterion during interviews. Successful candidates will also undergo personnel suitability checks, which may include vetting, criminal record verification, citizenship and credit record checks, qualification verification, and employment verification. The department retains the right not to fill the posts or to use alternative recruitment processes. Applicants should note that only shortlisted candidates will be contacted, and if no response is received within three months of the closing date, the application should be regarded as unsuccessful. The application itself must follow the prescribed public service procedures, including the completion of the new Z83 form and submission of a comprehensive CV, with certified documents requested only for shortlisted candidates. Foreign qualifications must be accompanied by a SAQA evaluation certificate. These posts offer an OSD-graded salary with benefits, and the successful appointees will be placed according to the department’s operational needs and corridor coordination.
