This position is located within the Goods and Services Supply Chain Management directorate at the department’s Head Office in Johannesburg. The Senior Administrative Officer for Logistics and Disposals (Inventory) is responsible for ensuring the smooth, compliant and auditable flow of goods, consumables and assets through the department’s internal supply chain. Working within a broader SCM framework, the role combines operational logistics coordination with administrative oversight, warehouse management, stock control and supervision of subordinate staff. The post is suited to a detail-oriented professional who can maintain accurate records, coordinate multiple stakeholders and act in line with public service financial and regulatory prescripts.
Candidates must hold an undergraduate qualification at NQF Level 6 or 7 in Supply Chain Management, Logistics, Cost and Management Accounting, Financial Management or Financial Accounting, together with at least two years’ experience in the management of assets. A valid driver’s licence is required. The department seeks individuals with sound knowledge of the Public Service Regulatory Framework, departmental strategy, SCM policies and procedures, the Public Finance Management Act, Treasury Regulations, financial delegations and risk management. Strong communication, computer literacy, analytical, presentation and report-writing skills are essential, as are the attributes of being a team player, working independently, professionalism, quality focus and the ability to perform under pressure.
The core duties involve coordinating the receipt, verification and processing of requisitions from internal clients for goods and consumables. The officer will liaise with end users, suppliers and procurement officials on delivery schedules and outstanding orders, verify quantities and specifications against purchase orders and delivery notes, and capture received items on inventory and logistics management systems. They must maintain goods received notes, issue vouchers and distribution records; arrange and monitor distribution to user sections; and ensure all supporting documentation is complete, accurate and filed. The role also requires following up on discrepancies, shortages, damaged goods and back orders, maintaining registers of requests, receipts and issued items, and compiling routine reports on stock movement and distribution activities.
Warehouse and inventory control form a major part of the responsibilities. This includes facilitating administrative control over warehouse operations, ensuring storage is orderly, secure and accessible, monitoring stock levels and replenishment needs, updating bin cards, stock registers and electronic inventory records, and ensuring compliance with occupational health and safety requirements in storage areas. The officer will coordinate labelling and classification of stock, safeguard high-value and sensitive items, and report warehouse-related risks, losses or irregularities to management. Monthly inventory status reports, scheduled and ad-hoc stocktaking, reconciliation of physical counts with records, investigating variances, preparing stock adjustment documentation and maintaining accurate inventory accounts and audit trails are all central. The post also entails compiling reports on obsolete, redundant and slow-moving stock and supporting internal and external audits.
Administrative and supervisory duties round out the role. The officer will maintain filing systems, databases and records, draft correspondence, memoranda and submissions, coordinate monthly, quarterly and annual operational reports, respond to internal and external enquiries, and arrange meetings, agendas and minutes. As a supervisor, they will sign performance agreements for subordinates, maintain discipline, oversee training and development, and update service delivery and work plans. Appointments are subject to pre-entry assessments, integrity verification and personnel suitability checks, including qualification, criminal record, citizenship, credit and employment verification. The department encourages youth and people with disabilities to apply, and candidates should note that only shortlisted applicants will be contacted.
