This position offers an opportunity to contribute to the operational efficiency of the Department of Community Safety as an Administration Clerk within the Traffic Management Directorate. Based at the Administrative Support Services unit in the Northern Corridor, the role is structured for two successful candidates and forms part of the broader traffic management support environment. The post is graded according to the Occupational Specific Dispensation, meaning it comes with the standard service benefits associated with a government clerical position. This is an entry-level role, requiring a Grade 12 certificate or equivalent, and no prior working experience is necessary, making it an ideal starting point for those seeking to build a career in public administration.
The successful incumbent will be expected to perform a wide range of clerical duties that keep the component running smoothly. Core responsibilities include rendering general clerical support services such as recording, organising, storing, capturing and retrieving correspondence and data. The role also involves updating registers and statistics, handling routine enquiries, making photocopies, sending and receiving facsimiles, and distributing documents or packages to various stakeholders. Maintaining an effective filing system and keeping an accurate incoming and outgoing document register for the component are essential, as is typing letters and other correspondence when required. Beyond these general duties, the position extends into supply chain clerical support, which includes liaising with internal and external stakeholders for the procurement of goods and services, obtaining quotations, completing procurement forms for standard office items, controlling stationery stock, and maintaining the asset register for the district offices. The role also covers personnel administration support, such as maintaining the leave register, personnel records, and attendance register for the component, as well as arranging travel and accommodation for officials. Financial administration forms another key component of the job, requiring the capture and update of expenditure, checking the correctness of subsistence and travel claims before submission to the manager for approval, and handling telephone accounts and petty cash.
Candidates must be South African citizens or permanent residents with no criminal record or pending cases against them. A sound knowledge of clerical duties, data capturing, computer operation and statistics collection is required, along with an understanding of the legislative framework governing the Public Service and the work procedures relevant to the environment. Strong communication and interpersonal skills, flexibility, teamwork, planning and organisation, and good verbal and written proficiency in the language of the workplace are all essential attributes. Applicants with foreign qualifications must ensure their certificates are evaluated by the South African Qualifications Authority.
Shortlisted candidates will be subjected to two pre-entry assessments, one practical and one on ethical conduct, and will need to undergo a personnel suitability check, including vetting, criminal record, citizenship, credit, qualification and employment verification. The department encourages youth, people with disabilities, and candidates from designated groups, including coloured, Indian and white applicants, to apply. A confirmation of disability from a registered medical practitioner must accompany applications from persons with disabilities. Successful candidates will be placed according to corridor coordination and departmental needs. Please note that applications must be submitted on the prescribed Z83 form and must be accompanied by a comprehensive CV, with certified copies of qualifications required only for shortlisted candidates. The department reserves the right not to fill the post or to use alternative recruitment processes.
