This position offers an opportunity to serve as an Administration Officer within the Traffic Management directorate of the Department of Community Safety, stationed at the Northern Corridor. The role is central to keeping the office of the manager running smoothly and efficiently. Working alongside managerial staff, the incumbent will be responsible for a wide range of administrative functions that support the broader traffic management operations of the unit. The position is structured as a government vacancy with a competitive salary plus service benefits, and it calls for a methodical, trustworthy individual who can handle sensitive documentation and supervise a small administrative team.

To be considered, applicants must hold a Grade 12 or matric certificate and have at least three years of practical experience in administration, auxiliary services, or a closely related field. A valid code 08 or 10 driver’s licence is required, and it is essential that candidates have no criminal record or pending cases against them. The role demands a solid set of skills including planning, organising, customer service, service delivery, communication, computer literacy, general administration, record keeping, and inventory management. These competencies will be used daily to maintain order in the office, manage information flows, and provide reliable support to the manager and the unit as a whole.

The core duties are broad and include designing administrative systems for the office, maintaining an effective records management system, and coordinating the filing of documentation and correspondence. The officer will oversee all administrative tasks linked to Traffic Management and will supervise the administration staff, ensuring that work is completed accurately and on time. Another key responsibility is assisting the manager with report writing for the office, as well as ensuring the safekeeping of all documentation in line with relevant legislation and policies. The post also requires rendering general administrative support services, managing the flow of information and documents to and from the office, and responding to enquiries from internal colleagues and Head Office.

Procurement and documentation handling form a significant part of the role. The officer will handle the procurement of standard items such as stationery and refreshments needed for the manager’s activities and unit events, and will obtain the necessary signatures on documents such as procurement advice and monthly salary reports. The position also involves scrutinising documents to determine what actions, information, or other materials are needed for meetings, collecting and compiling the relevant documents for the manager, and briefing the manager on their contents. Additionally, the officer records minutes and decisions, communicates these to relevant role players, and follows up on progress made. Drafting documents, and collecting, analysing, and collating information requested by the unit, round out the responsibilities.

This vacancy is subject to several special conditions. The Department encourages youth, people with disabilities, and candidates from coloured, Indian, and white population groups to apply, and a confirmation of disability from a registered medical practitioner must accompany the application. All shortlisted candidates will undergo two pre-entry assessments: a practical exercise and an integrity or ethical conduct assessment, both of which will be scored as part of the interview process. Suitable candidates will also be subjected to a personnel suitability check covering vetting, criminal record verification, citizenship, credit record, qualification verification, and employment verification. The Department reserves the right not to make an appointment and may use alternative recruitment processes. Appointment will be made according to corridor coordination and departmental needs. Applicants should be aware that only shortlisted candidates will be contacted, and if no response is received within three months of the closing date, the application should be regarded as unsuccessful.
