This position is for a Supply Chain Clerk based at the KwaZulu-Natal Deeds Registry in Pietermaritzburg, operating within the broader public service environment. The role is a critical support function within the registry’s administrative operations, ensuring that all supply chain processes run smoothly in line with legislative requirements and departmental procedures. As a clerk, the incumbent will work under supervision but is expected to take responsibility for a range of clerical and logistical tasks that keep the office fully equipped and compliant with asset and procurement standards.

The minimum educational requirement is a Grade 12 certificate or an equivalent qualification. Beyond this, applicants should possess basic knowledge of supply chain duties and practices, including data capturing, operating a computer, and collecting statistics. A sound understanding of the legislative framework governing the Public Service is essential, as is familiarity with the work procedures specific to the office environment. The required skills include planning and organisation, computer literacy, language proficiency, and strong verbal and written communication abilities. These competencies enable the clerk to interact effectively with colleagues, suppliers, and other stakeholders while managing multiple administrative tasks.

The duties of the role are varied and cover three main areas of supply chain work. In asset management, the clerk renders clerical support by compiling and maintaining records, checking and issuing furniture, equipment and accessories to components and individuals, and identifying redundant, non-serviceable or obsolete equipment for disposal. The clerk also verifies the asset register to ensure accuracy and accountability. In demand and acquisition, the responsibilities include updating and maintaining a supplier and contractor database, registering suppliers on LOGIS or a similar system, requesting and receiving quotations, and capturing specifications on the electronic purchasing system. The clerk places orders, issues and receives bid documents, and provides secretariat or logistical support during bid consideration and contract conclusion processes, as well as compiling draft documents as required. In logistical support, the clerk places orders for goods, receives and verifies deliveries from suppliers, captures goods in register databases, processes requests from end users, issues goods, and maintains the goods register, while also updating and maintaining the supplier register.
