This position offers an opportunity to contribute to the operational efficiency of a government department by providing essential supply chain management support. Based at the Head Office, the Supply Chain Clerk operates within the broader financial and administrative framework of the Department of Higher Education, ensuring that procurement and logistical processes run smoothly and in line with regulatory requirements. The role is central to maintaining accurate records, supporting the acquisition of goods and services, and assisting with the management of supplier relationships, making it a vital link between the department’s operational needs and its compliance obligations.

To be considered for this role, candidates must hold a Matric certificate as well as a recognised national diploma in Financial Management, Management Assistant, Supply Chain Management, or another relevant qualification. In addition, applicants should have between one and two years of experience in supply chain functions. A solid foundational understanding of supply chain policies, procedures, and practices is essential, along with knowledge of the Public Finance Management Act, Treasury regulations, and applicable SCM prescripts. Familiarity with demand and acquisition processes would be an added advantage. Candidates should also understand the legislative framework governing the Public Service, the procedures specific to the working environment, and the mandate of the Department of Higher Education. Practical knowledge of the Coltech financial operating system is required, as this system is used for supplier registration and electronic purchasing activities. The ideal candidate will possess strong planning and organising abilities, good verbal and written communication skills, computer literacy, flexibility, a customer care orientation, and the ability to write clear reports.

The duties of the Supply Chain Clerk are varied and hands-on. The incumbent will render clerical and administrative support for supply chain management, update and maintain the supplier and contractor database, and register suppliers on Coltech. Other responsibilities include requesting and receiving quotations, capturing specifications on the electronic purchasing system, processing purchase orders, and issuing quotations as needed. The role also involves providing secretariat or logistical support during bid consideration and contract conclusion processes, compiling draft documents, and placing orders with suppliers. Furthermore, the incumbent will receive and verify goods from suppliers, capture goods in registers and databases, receive requests for goods from end users, issue goods to those end users, and maintain the goods register. This range of duties requires attention to detail, good record-keeping, and the ability to coordinate multiple procurement activities simultaneously.

This is a permanent, entry-level clerical post graded at Level 05, and it comes with the standard benefits associated with public service employment. While the summary highlights the core requirements and duties, interested applicants are encouraged to review the full vacancy circular for any additional conditions. As with many government positions, this role may be subject to equity and employment targets, and candidates from designated groups are encouraged to apply, in line with the department’s commitment to a representative workforce. The position offers a solid foundation for individuals seeking to build a career in supply chain management within the public sector.
