This position offers an opportunity to serve as an Office Administrator within the Provincial Office of the Department of Employment and Labour in the Eastern Cape. The role is central to the smooth functioning of the Directorate, providing comprehensive administrative, secretarial and reception support to the Branch, Office, Chief Directorate or Directorate. As the first point of contact, the incumbent will manage the Director’s diary, handle incoming calls with professional telephone etiquette, and ensure that visitors and stakeholders are received in a courteous and efficient manner. Beyond reception duties, the role requires a proactive individual who can render full secretariat services to the office of the Directorate, including the preparation of documents, coordination of meetings and management of correspondence. The Office Administrator will also assist in monitoring and maintaining the Directorate’s budget, working closely with supply chain processes to ensure that resources are procured and utilised in line with departmental policies and procedures. This includes facilitating and coordinating all logistical and resource requirements, from office equipment to consumables, so that the Directorate operates without interruption.
In addition to these administrative functions, the post carries responsibility for providing management information and records management services. This means the incumbent will be expected to maintain accurate filing systems, both physical and electronic, and ensure that information is readily available for decision-making and audit purposes. The role also involves tracking and monitoring project tasks within the Directorate, requiring strong organisational skills and the ability to follow through on multiple activities simultaneously. The successful candidate will therefore need to demonstrate sound planning and organising abilities, problem-solving skills, and a high level of computer literacy. Effective communication, both verbal and written, is essential, as is the capacity to listen carefully and respond appropriately to the needs of internal and external stakeholders. Interpersonal relations are key, as the Office Administrator will interact with staff at all levels, as well as members of the public.
To be considered for this post, applicants must hold a three-year National Diploma (NQF6) or an Undergraduate or Bachelor Degree (NQF7) in Office Management, Information Management and Technology, Public Administration, Business Administration, Business Management, or Public Management. In addition, at least one year of functional experience in office administration or secretariat services is required. Knowledge of departmental policies and procedures, administrative processes, and planning and organising principles is expected. The position is based at the Provincial Office in the Eastern Cape, and the salary is aligned with the applicable public service remuneration framework. As part of the department’s employment equity commitments, African Males, White Males, White Females, Coloured Males, Coloured Females, Indian Males, Indian Females and People with Disabilities are encouraged to apply. This is an excellent opportunity for a detail-oriented, service-driven professional to contribute to the efficient administration of a government directorate while developing a career in public service administration.
