This position offers an opportunity to contribute to the smooth functioning of a national government department as an Administration Clerk within the Head Office Stores component, which falls under the Logistics directorate. Based at the National Head Office, the role is central to the day-to-day management of stores and assets, ensuring that the department’s internal supply chain operations run efficiently and in line with regulatory frameworks. The incumbent will work within a structured public service environment, supporting end users by processing their requests for goods and ensuring that all stores-related activities are accurately recorded and controlled. This is an entry-level clerical post that provides a solid grounding in public sector logistics, procurement support, and asset management, making it suitable for candidates who are organised, detail-oriented, and ready to take on responsibility in a government setting.
In terms of qualifications, a Grade 12 certificate or an equivalent qualification is required, and no prior work experience is necessary, which makes this an accessible opportunity for entry-level applicants. However, basic computer literacy is essential, as the role involves working with databases, registers, and financial or supply chain systems. The successful candidate will be expected to familiarise themselves with a range of legislative and regulatory frameworks that govern public service operations. These include Chapter 5 of the Public Finance Management Act (PFMA), Treasury Regulations, Public Service Regulations, applicable sections of the White Paper on Corrections, and the Public Administration Supply Chain Management (PASM) chapters, particularly chapters 12, 14, and 15. Knowledge of BAS, GRAP, and the department’s Supply Chain Manuals, as well as general labour legislation, will also be important for executing duties correctly and ethically.
The core duties of the role revolve around rendering acquisition services and managing the flow of goods within the stores environment. The clerk will receive requests for goods from end users, receive and issue stores items, and check all incoming goods against the relevant documentation to ensure accuracy and compliance. Maintaining proper stores records is a key responsibility, including updating and maintaining goods registers and databases. The role also extends to the management of assets, meaning the incumbent must ensure that all items are accounted for, correctly recorded, and properly tracked throughout their lifecycle. This requires a methodical approach, attention to detail, and the ability to work with both manual and electronic record-keeping systems.
Beyond technical knowledge, the position demands a range of personal and interpersonal competencies. The successful candidate should be able to plan, organise, lead, and control their work area effectively. Strong interpersonal skills, along with conflict resolution and problem-solving abilities, are important for liaising with colleagues and end users. The department values individuals who are responsible, fair, and assertive, with sound judgement and initiative. Integrity, credibility, accountability, and an innovative mindset are also emphasised, as the role involves handling public resources and must be performed with the highest ethical standards. Appointment to this post will be made under the Public Service Act, and the vacancy is advertised through the Public Service Vacancy Circular, meaning the successful candidate will join the broader public service framework with its associated conditions and career development opportunities.
