This position offers an opportunity to serve as the Personal Assistant to the Director of Provincial Transport Registration within the Western Cape Mobility Department, a unit of the Western Cape Government. The role is central to ensuring the smooth operation of the Director’s office, providing high-level secretarial, administrative, and executive support. As a level 07 post, it is suited to an experienced administrative professional who can work independently, exercise discretion, and manage multiple priorities in a fast-paced public-sector environment. The successful candidate will act as a key liaison between the Provincial Transport Registration unit and its internal and external stakeholders, helping to facilitate communication and coordination across the department.

Applicants must hold an accredited secretarial diploma and/or an administrative qualification at NQF level 5, combined with at least three years of experience in office management, operational support, and executive support. The role demands a thorough working knowledge of relevant legislation, regulatory frameworks, policies, and best practices, as well as familiarity with public service procedures, procurement and tendering processes, and financial management in line with the Public Finance Management Act, National Treasury Regulations, and Provincial Treasury Instructions. Practical proficiency in information systems, database management, records management, and software packages is essential, including experience with general information support systems such as BAS and the effective use of current technology and social media. Strong communication, organisational, interpersonal, and problem-solving skills are also required, along with the ability to compile reports, conduct research, manage projects, and uphold high ethical standards and confidentiality.

The core duties include providing a comprehensive secretarial and receptionist service to the Director, rendering administrative support, and organising and supporting meetings. The Personal Assistant will also assist with the administration of the Director’s budget, ensuring compliance with applicable financial policies and prescripts. Another important responsibility is studying relevant public service and departmental policies and documents, then ensuring that their application is properly understood within the office. Acting as a liaison between the Provincial Transport Registration unit and stakeholders, the post holder must communicate effectively with people at different levels and from diverse backgrounds, maintain good telephone etiquette, and demonstrate tact, discretion, and reliability. The role requires the ability to work under pressure, meet tight deadlines, work irregular hours when necessary, and maintain safety and security awareness.

Shortlisted candidates should note that the selection process includes interviews, the submission of vetting and supporting documentation, and two pre-entry assessments: one practical exercise testing technical and generic suitability, and one integrity assessment. The selection process will be guided by the employment equity targets of the department. By applying, candidates consent to employment references being sought from previous employers, including enquiries about disciplinary records and reasons for leaving. This is a demanding but rewarding role for a proactive, well-organised professional seeking to contribute to the effective functioning of a provincial government office.
